SALARY: The salary range for this position is $47,400.76 to $74,716.17 for Schedule A, and $47,400.76 to $70,980.36 for Schedule B. For newly hired individuals, the starting salary will normally be at the minimum of the salary range. For current Judiciary employees, salary upon promotion or advancement will be an increase of 5% of base salary, not to exceed the maximum of the range, or the minimum salary of the band/level, whichever is greater.Judiciary employees hired prior to June 3, 2014, are considered Schedule A. Newly hired individuals, and Judiciary employees hired on or after June 3, 2014, are considered Schedule B. The Judiciary offers a strong opportunity for growth. The Passaic Vicinage is seeking a well-organized, detail-oriented individual with strong customer service and communication skills to provide administrative support. Under the direction of the Court Executive 2B (Manager) and immediate direction of the Court Executive 1b (Assistant Municipal Division Manager), the selected candidate will: work with Microsoft Suite applications and Judiciary web-based automated systems; maintain electronic files and spreadsheets for various subject matters; process information; type correspondence, documents, Orders, and form letters; prepare required reports; sort, date-stamp and view mail, letters and other documents, and follow up as appropriate; facilitate movement of gathering data; answer phones and inquiries from attorneys, litigants, staff, and the public; and perform other related duties as required. Must possess excellent written and verbal communication skills; the ability to work independently and as part of a team; adhere to deadlines; demonstrate attention to detail and accuracy; maintain confidentiality and possess integrity; the candidate must have the ability to work on multiple assignments while ensuring effective time management and prioritization of the same. REMOTE WORK: The Judiciary currently offers a hybrid work schedule, and this position may qualify for up to 2 days of remote work outside of Judiciary buildings. To participate in this program, in addition to installing a multifactor authentication app on your phone or tablet, you will be required to have high speed home internet access. Example of DutiesNote: Regular and predictable physical presence at the worksite is an essential function of this position. EXAMPLE OF DUTIES: Specific duties include, but are not limited to:
  • Schedule and coordinate meetings, trainings, and other events for Municipal Judges and court staff
  • Coordinate, schedule, moderate and conduct virtual sessions via Zoom and or Teams including but not limited to Warrant Review Hearings and Civil Commitment Hearings
  • Create written meeting summaries
  • Maintain confidentiality
  • Manage incoming and outgoing communications, including mail, telephone and follow-up on same
  • Compose routine and non-routine correspondence
  • Investigate and respond to inquiries from Municipal Corts, attorneys, superior court staff, the Administrative Office of the Courts (AOC), external partners and the public, report findings
  • Respond to customer complaints
  • Procure supplies, equipment, and inventory. Coordinate service calls on office equipment
  • Manage files and reports and other documents both digital and physical
  • Establish and maintain systems track and manage municipal court managers, municipal court employees and municipal judge compliance with judiciary policies and court rules
  • Collect, compile and organize statistical data
  • Conduct surveys and collect information for the municipal division and AOC
  • Track Parking Offenses Adjudication Act (POAA) and Driving While under the influence (DWI) trust fund expenditure requests and status for Division Manager and Assignment Judge's approval
  • Provide excellent customer service and treat all personnel, clients and the public with dignity and respect
  • Visit courts when so directed to gather needed information or assist the Court Administrator
  • Assist with coordination of the Municipal Court Mediation Program
  • Work on multiple assignments while ensuring effective time management and prioritization
  • Perform other related duties as required.
Qualifications Three years of experience in an office environment performing a variety of clerical and support services to include keyboarding and one or more of the following: document or information processing, handling payments for fees, recording monies received, reconciling balances or accounts and/or scheduling meetings or appointments. Testing: Applicants selected to interview must pass an appointing authority administered examination to demonstrate keyboarding skills at the Judiciary standard of at least 25 words per minute, or must have otherwise demonstrated this competency as detailed below. The appointing authority administered examination is waived for the following applicants who have been deemed to possess keyboarding skills at the Judiciary standard of 25 words per minute:
  • All applicants who possess a current typing proficiency certification issued by the New Jersey Civil Service Commission or the New Jersey Judiciary.
  • Judiciary staff that have permanent status in a career service title requiring a keyboarding, typing or stenography test.
  • Judiciary staff in unclassified titles requiring a keyboarding, typing or stenography test.
Supplemental InformationDriver's License: Appointee will be required to possess a driver's license valid in New Jersey only if the operation of a vehicle is necessary to perform essential duties of the position. Authorization to Work: US citizenship is not required. Selected candidate must be authorized to work in the US according to Department of Homeland Security, US Citizenship and Immigration Services regulations. Special Note: Newly hired employees must agree to a thorough background check that will include fingerprinting. All data received will be kept in strict confidence except to inform the individual of the findings and what action will be taken as a result of this information. Residency Law: In accordance with N.J.S.A. 52:14-7 (L. 2011, Chapter 70), the New Jersey First Act, all persons newly hired by the Judiciary within one year must establish, and then maintain, principal residence in the State of New Jersey. Any person may request an exemption from that requirement from the Employee Residency Review Committee in the Department of Labor & Workforce Development on the basis of either hardship or employer critical need.
