Job Description As the Scheduling Specialist, this full-time benefits-eligible position will work to schedule employees inside the premier campus dining hall for OU, Couch Restaurants. The Scheduler duties include but are not limited to:
- Responsible for coordinating the work schedules of student employees, in compliance with a designated staffing plan. Schedules appointments for personnel. Will complete clerical duties to onboard employees as necessary.
- Responsible for communicating directly with student employees to confirm work schedules that fit the needs of Couch Restaurants, while also supporting the needs of students. Position works closely with Couch Restaurants supervisors and managers to maintain student employee coverage throughout the restaurant and communicating schedule changes.
- Receives incoming calls for personnel and refers to appropriate person. Records messages or responds to caller with routine information. Serves as a contact person for other employees or the outside public. Provides information regarding availability of materials, resources and services.
- Position communicates time and attendance issues to supervisors, managers, and students, and also works to secure replacements for shifts if/when a student isn't available. Responsible for typing correspondence, proposals. Prepares various reports.
- Opens, routes and prepares incoming and outgoing mail. Makes copies and assembles materials.
- Will occasionally assist with other restaurant related duties such as cashiering or serving as needed, as well as other duties as assigned.
Job Requirements Required Education and Experience: High School diploma/GED, AND:
- 12 months office, clerical or administrative support experience.
Skills: - Computer skills including but not limited to: Word and Excel.
- Excellent written, interpersonal and verbal communication skills
- Excellent organizational skills.
- Must be able to build rapport quickly with students, faculty and staff.
- Must be able to produce reports and complete work within deadlines.
- Must be able to read and interpret policy as well as State and Federal regulations.
- Must be able to supervise and communicate directions and expectations effectively.
- Ability to multitask and prioritize time and responsibilities in a rapidly changing environment
- Ability to think creatively about the assigned job and find new ways of problem solving
- Proficient managing the schedule of a large multi-shift, multi-functional workforce
- Ability to work in various systems after being trained: When To Work, Peoplesoft, Crimson Corner, Micros, CBOARD, etc.
Advertised Physical Requirements: - Must be able to stand for extended periods of time and maneuver about the various facilities safely and efficiently
- Long periods of standing, squatting, bending and lifting required
- May require travel to various venues.
- Push/pull carts using up to 30 lbs. of pressure.
- Open/close freezer/refrigerator doors.
- Subjected to extreme temperature changes going in/out of freezers or cooking over hot surfaces, ovens, open flames, etc.
Department Preferences: - 2 years college: Software, systems, business, learning and development, special events, culinary arts or similar.
- 2 or more years as a Staff Assistant or higher level office work using scheduling, record keeping, and/or HR systems.
- 12 months high volume food services/restaurant experience.
Supervision: - Position receives general supervision from restaurant operations manager.
