Job DescriptionThe Development Coordinator (DC) supports all development department administrative operations and helps execute annual fund, capital campaign, and legacy giving activities in conjunction with the Development Operations Manager, Assistant Director of Development ,Annual Giving Manager, Database Administrator, and Director of Development. Provides a variety of database, administrative and clerical support to the Development team. Responsible for processing, recording and responding to donations and maintaining the integrity of the entire donor database. Provides support and project management for fundraising initiatives, including, but not limited to appeals, events, and donor moves management. The DC has a particular focus on gift administration and executive level administrative support for the Director of Development.
Specific Responsibilities - Responsible for overall data integrity and all data entry functions within Development
- Prepare acknowledgement letters and other correspondence, including noting letters that should receive special attention (first-time donors, etc.)
- Write and maintain written donation entry procedures, maintain template thank-you letters for various gift types in Raiser's Edge
- Run queries and exports, create lists using proper segmentation, and analyze donor data for all fundraising campaigns including direct mail and online appeals
- Produce lists for Development communications including emails, solicitations, and invitations
- Manage general department inbox - forwarding requests to the correct group
- Track all campaigns, appeals, and funds and deactivate when end dates have passed
- Reconcile all gifts and support appeal analysis for each annual campaign
- Provide reports and ad hoc analysis to Director of Development and Assistant Director of Development
- Coordinate the printing and mailing of all fundraising appeals with the Annual Fund Manager
- Assist and provide feedback as needed for the development of collateral and promotional materials
- Respond or forward requests for information (as appropriate) from donors to other Development staff
- Provide responsive, excellent customer service to donors and prospects of all giving levels
- Work closely with Accounting to add/change fund codes, reconcile database records with accounting records (monthly), and assist with year-end audit
- Assist in developing and coordinating special events
- Manage internal volunteers for the department (stuffing envelopes, data entry, scanning documents)
- Work with the Assistant Director of Development to conduct prospect research, analyze wealth screening results, and support moves management
- Support the Department in grant management (i.e. managing application/reporting timelines, gathering necessary information, and drafting compelling narratives)
- Insight Prison Project administration (Respond to letters - or delegate them to volunteers - from people who are incarcerated, send books when appropriate)
- Manage special projects and assignments as necessary in Asana and utilized other project management tools
Database Management and Gift Processing
- Work closely with the Database Administrator to manage the Raiser's Edge donor database; ensuring donor data integrity and accuracy
- Provide daily/weekly/monthly/as-needed gift reports to the Development team
- Program Manage multiple giving circles (monthly giving and bequests)
- Contact constituents - often by phone - to complete donation pledges or to update their payment information when declines occur
Executive-level Administrative Support
- Manage the DoD's external meetings calendar, including scheduling board, committee, donor meetings, sending reminders, meeting materials
- Assist with drafting and/or editing DoD communications such as meeting agendas, contact reports, proposals, meeting documents and materials, meeting minutes
- Support DoD's internal communication such as executive, board, and Allstaff updates
- Coordinate team and staff appreciation efforts under the DoD's direction
- Proofread DoDs communication as requested
- Manage Development team's office supply inventory
- Process travel and expense reports
Requirements
- A minimum of two years' experience in an administrative position, preferably in a not-for-profit development office
- Database management experience - Raiser's Edge highly preferred
- Proficiency in MS Office Suite, Asana, Adobe Acrobat, G-Suite, Slack
- Excellent verbal and written communications skills
- Excellent typing and computer skills are required (word processing and data entry)
- Ability to work independently with little supervision
