21st Century Grant Administrative AssistantReports to: 21st Century Grant DirectorQualificationsThe 21st Century Grant Administrative Assistant should possess:
  • Office management experience with expertise in computer skills (Word, Excel), typing, note-taking, and correspondence.
  • Skills to efficiently handle bills payment.
  • Knowledge of accounting and bookkeeping procedures.
  • Excellent grammar and proofing skills.
  • Personable communication skills.

  • Will be in charge of creating purchase orders and requests for reimbursement for purchase of supplies according to District procedures and 21st Century Grant Guidelines.
  • Will oversee properly classifying all expenditures by fund, code, and department.
  • Efficiently and effectively assist the 21st Century Grant Director in conducting the day-to-day functioning of the scheduled activities, services, and programs.
  • Keep the 21st Century Grant Director aware of meeting schedules and reports due.
  • Assist the 21st Century Grant Director in secretarial matters, including but not limited to answering phone calls/emails, assisting in the scheduling of transportation in coordination with the Maintenance/Transportation Director, and finding substitutes, when necessary, for scheduled activities, programs, and services.
  • Assist in keeping track of the teachers/faculty/staff and organization/business partners that are scheduled for the month and that all appropriate paperwork for the payment of these individuals is maintained and up to date.
  • Collate mail pertaining to the 21st Century Grant and the functioning of the department.
  • Assist with preparations for meetings and functions.
  • Attend all meetings, functions, trainings, and events as required by the 21st Century Grant Director.
  • Maintain accurate and up-to-date records as required by state and local guidelines.
  • Keep all office business confidential.
  • Complete all reports for which he/she is responsible.
  • Assume the responsibility for the completion of special projects.
  • Assist in maintaining an inventory of all equipment and supplies used for the purpose of student enrichment via the 21st Century Grant.
