Job Title: Administrative AssistantReports to: Assigned SupervisorDepartment: District OfficeSalary Range: Based on experienceTerm: One year with the option for renewal, contingent on funding and performancePrimary Responsibility To provide secretarial/clerical duties that assist the supervisor in carrying out assigned responsibilities.Essential Responsibilities
Receives telephone calls and visits, always exercising tact and diplomacy when dealing with individuals.Establishes and maintains correspondence files and other files.Assists in the preparation of all local, state, and federal reports.Handles all correspondence for the Supervisor.Conducts supportive activities of a secretarial nature as required to carry out job assignments.Meet the public in a pleasant, respectful, and courteous manner, assisting the public as required or desirable.Works with other employees in a cooperative, courteous manner at all times.Schedules appointments for the Superintendent and maintains the Google calendar at all times.Completes filing and retrieval of information efficiently.Disseminate information to administrators, teachers, parents, and any/all other personnel when necessary.Order and maintain supplies for efficient office operation.Schedules/coordinates reservations and ensures all bookkeeping requirements are completed for travel to/from meeting for the supervisor.Performs extensive phone duties to include school personnel, parents, etc.; usually screening calls for directions to the proper location/contact person.Be the central office liaison for any needs that may arise; i.e. maintaining problems, etc.Established and maintains correspondence files pertinent to school district operations.Handles all correspondence for the district office staff.Informs the supervisor of the upcoming meeting and school events.Prepares and assembles board requests of agenda items that have been approved by the SupervisorDisseminates approved date from board meeting to the Human Resources and all other departments, and/or any and all affected personnel.Coordinate and/or prepares any and all follow-up from board meetings for the assigned supervisor.Assist with coordinating, maintaining, ensuring, and monitoring compliance with Process Standards.Any other duties assigned by the Supervisor.Required Qualifications
- Bachelor's Degree preferred
- Ability to operate office equipment such as office computers, calculators, copiers, fax machines, etc.
- Proficiency in computer software applications (Word, Excel, PowerPoint, Access, and other software programs).
- Strong interpersonal skills, as well as written and oral communication skills, are essential.
- Telephone etiquette, (must be a self-starter/self-motivator and energetic).
- Confidentiality, maturity, and professionalism at all times are essential for this position.
