Position Summary
Oversee and facilitate the daily operations of the school.
Essential Functions
Orient and assist building substitutes
Oversee correct preparation of payroll time and absence reports for all building staff
Maintain all school records & files for the building, principal and faculty, including student academic and discipline records
Compile and distribute monthly and annual reports
Assist with preparation of annual building and department discretionary budgets
Monitor expenditures of building discretionary budgets and specific use funds; assist departments with same
Serve as confidential secretary to principal - correspondence, communications, appointments, assist principal with duties as delegated
Keep office machines functioning and supplied. Obtain office supplies for staff.
Administer building access. Maintain all records for security access. (i.e. keys, codes, sign-in sheets, etc)
Emergency Preparedness Plan
* Assist with preparation and updating of Plan
* Knowledge and full understanding of plan implementation
* Enact your role in plan when necessary
Serve as school liaison with PTSA
Answer telephones
Secretary to committees and groups as assigned by Principal
Serve as Information Resource Officer for the school. Greet visitors, assist staff, students, parents and community members with any and all information pertaining to the school
Perform background checks for all building volunteers
Supervise students in office
Monitor and account for fines, fees, money for ASB and school
Schedule use of building
Annual/Quarterly
Coordinate and attend various evening school functions
Opening of School - Prepare and publish any building information for staff, students and community
Orient and educate staff (new and returning) on building and office procedures
Annual KCDA order - coordinate and supervise
Closing of School - collect and retain necessary records and reports from staff
See to proper closing of school
Duties directly related to purpose of job.
Supervisory Responsibilities
Students in office area, parent volunteers and main office clerical staff

Education and/or Experience
Associates Degree and 1-3 years office experience, preferably in a school setting
Other Skills and Abilities
Must have strong communications, computer and interpersonal skills.
Ability to develop effective working relationships with students, staff and the school community.
Must have valid 1st Aid/CPR Card.
Working knowledge of a variety of business machines.
Strong financial and budgetary skills.
Patience in dealing with parents and small children.
Ability to communicate clearly and concisely orally and in writing.
Flexibility and the ability to work amidst many interruptions.
Ability to perform duties in accordance with all district and State requirements and policies.
Language Skills
Ability to read and interpret documents such as safety rules, operation and maintenance instructions and procedure manuals. Ability to write reports, business correspondence and procedure manuals. Ability to respond to common requests or complaints from public, regulatory agencies or members of the business community.
Mathematical Skills
Ability to add, subtract, multiply and divide in all units of measure, using whole numbers, common fractions, and decimals.
Reasoning Ability
Ability to define problems, collect data, establish facts, and draw valid conclusions.
