- Receives telephone calls and visitors; resolves routine inquires independently and refers difficult or unusual matters to appropriate staff member and/or director.
- Receives, opens, and sorts mail and answers correspondence not requiring official action or decision by the director.
- Maintains, schedules and coordinates appointments for director.
- Prepares correspondence, reviews and edits correspondence prepared by staff members from director, checks for correct grammar, proper format, and necessary attachments.
- Consults with the director concerning varied office procedures or questions concerning best
- practices, policies and regulations.
- Receives routine inquiries from the public, school staff and families concerning student health, EC nursing services, homebound services, and adapted physical education through correspondence and discussions explains established rules, regulations, and procedures, and suggests solutions based on policy and directives by director.
- Gives information to the public on other employees, which requires knowledge of office rules and regulations.
- Receives standardized reports, and compiles data into a summary or a consolidated form.
- Compiles, consolidates, and supervises the clerical processing of standardized or special
- reports relating to the department's operations and activities.
- Creates documents and forms needed for parents and schools staff as required for Health
- Services.
- Collects a variety of data from existing office records and compiles into required form for use of director or related working units.
- Orders supplies, obtains price quotes for equipment and materials needed.
- Reviews incoming mail; refers important correspondence to director assigned correspondence.
- Establishes and maintains files for records and correspondence in addition to sorting and distributing incoming mail.
- Prepares agenda for office and departmental meetings; handles details of planning meetings, and follows through on matters requiring correspondence.
- Issue purchase orders and inspects related bills, reports, and forms for accuracy, completeness, and compliance with established policies and departmental requirements.
- Inspects reports and forms for accuracy, completeness, and compliance with established requirements.
- Performs all necessary accounting procedures to ensure grant/local funds are balanced.
- Monitors payment of budgeted items by printing and analyzing the monthly financial reports.
- Completes miscellaneous payroll, EOM, CMM, and TPR or substitute teacher reimbursement cost and CCS Reason 4 for all sponsored Health Services professional development.
- Receives and distributes curriculum and other printed notifications to parents and school administrators.
- Monitors budgets and processes payments for large grants.
- Compiles and analyzes monthly financial reports and presents to the director for consideration and approval.
- Sends request for reimbursement funding monthly and quarterly to proper departments or agencies.Complies and maintains required documentation and records for students needing homebound services for director's review.
- Schedules IEP meetings to review request for homebound services or EC Nursing Services for EC students.
- Assists the director with public health emergencies.
- Disseminates directions and information given by the director to school staff, teachers, homebound teachers, families and administrators concerning homebound services that will be provided to the student.
- Compiles weekly payroll timesheets and leave slips for Health Services EC nursing staff and monitor for accuracy. Provides detailed staff attendance and notates any discrepancies to the director. Follows directives given from the director and insures all payroll attendance or discrepancies are addressed prior to processing.
- Presents EC Nursing staff payroll timesheets and leave requests to the director for consideration and approval. Delivers all approved documentation to Exceptional Children Department for processing.
- Compiles monthly travel reimbursement request from office staff, EC nursing staff, adapted physical education, and homebound teaching staff to review for accuracy.
- Reviews staff schedules to ensure reimbursement request is correctly documented and confirms mileage between locations for accuracy.
- Presents all travel reimbursement requests to the director for consideration and approval. Delivers all approved requesst to EC department or accounts payable for processing.
- Establishes and maintains files for records, correspondence, personnel records, weekly staff schedules and timesheets.
- Maintains, reviews and updates Health Services web page and Google shared drives with forms, best practices and pertinent information as directed.
- Schedules, maintains registration links, accurate records, prepares activities, materials, equipment and assists the director with monthly Health Services Professional Development courses: Medication, Vision, Diabetes, Asthma, and other miscellaneous training throughout the school year.
- Schedules and maintains accurate records, prepares activities, materials and assists the director with special yearly events: Kindergarten and 7th Grade Immunization report to state, Influenza information, Healthful Living Kindergarten Summer Camp, Beginner's Day, and other events.
- Assists the director with coordinating and planning Countywide Staff Development for Adapted PE, Homebound Services, EC Nursing and EC Paraprofessionals.

PHYSICAL REQUIREMENTS:Must be able to communicate effectively orally and in writing.Must have finger dexterity and be able to physically perform the basic life operational functions of kneeling, sitting, walking, stooping, reaching, lifting, pushing, pulling, talking, seeing, hearing, and repetitive motion.Auditory acuity at a level to hear telephone conversations, customer questions and concerns, and supervisor vocalized instructions.SPECIAL REQUIREMENTS:Background check with local and state law enforcement agencies required.Must possess a valid North Carolina driver's license.
