The Department of Sports Medicine within the College of Health Science prepares and inspires health leaders, professionals, and consumers through collaborative and innovative approaches to education, research and community service.As a key contributor, the Office Assistant is responsible for the coordination and delivery of a full range of administrative services to the department chair and faculty of the Department of Sports Medicine and to the Dean for the College of Health Sciences. The ideal candidate values teamwork and collaboration and will demonstrate excellent customer service skills, strong organizational skills, the ability to manage multiple priorities in a fast-paced office environment, and the ability to communicate effectively with a diverse campus community.Responsibilities include:
- Serve as first point of contact for students, faculty, parents, and visitors
- Answer incoming calls
- Maintain department email accounts and respond to general inquiries
- Respond to information requests and help to resolve problems
- Serve as a student liaison with faculty
- Provide administrative and daily office operations support for the department chair and faculty
- Support electronic document storage using multiple systems including Microsoft Outlook, Word, Excel, Power Point, Banner, Contribute, SAP, and 25Live
- Maintain departmental files including unofficial personnel records, student records, assessment plans, accreditation documents, hiring forms and other official correspondence
- Support faculty in data capture and maintain databases associated with advising, assessment, and accreditation
- Input the master schedule for undergraduate and graduate courses
- Assist the department chairperson with first year scheduling
- Update faculty advising list and assign advisees as instructed
- Update program materials, website, and other media as needed
- Support faculty searches including making reservations and scheduling transportation
- Assist the department chair with department budget, annual retreat coordination, and faculty evaluations
- Assist with submission, monitoring, and processing of all required purchasing requisitions
- Assist with department P-Cards
- Make travel arrangements and submit travel reimbursements
- Coordinate workflow for graduate assistants and work study students
- Order and maintain office supplies
- Distribute mail
- Process department work orders and equipment maintenance
- Attend workshops and trainings
- Perform other related duties as assigned
Minimum Qualifications
- Six months as a Clerical Assistant 1 (Commonwealth title) OR
- Graduation from high school OR
- An equivalent combination of experience and training
- Demonstrated proficiency in the use of Microsoft Office Suite including Outlook, Word, Excel, and Teams
Required knowledge, skills, and abilities:
- Knowledge of standard vocabulary and usage, spelling, grammar, and punctuation
- Ability to use an alphanumeric keyboard
- Ability to proofread information for conformance with prescribed standards
- Ability to sort and file information
- Ability to perform mathematical calculations
- Ability to follow oral instructions
- Ability to read and understand written materials
- Ability to communicate effectively orally
- Ability to communicate effectively in writing
- Ability to establish and maintain effective working relationships
Preferred Qualifications
- Experience in an administrative or receptionist role
- Customer service experience
- Excellent written communication skills
- Higher education or student support experience
- Experience with higher education systems such as Peoplesoft, SAP, and BI
