Azure Summit Technology is currently seeking an Administrative Manager. The selected candidate will be part of a dynamic, growing, cross-functional, and geographically distributed team. This position is located on-site at our Melbourne, Florida, facility with occasional overnight travel to our Fairfax, Virginia, headquarters. Your future team has worked together to produce the following job description: The successful candidate will be part of a team responsible for supporting daily administrative functions at a growing defense contractor. Duties and responsibilities include:
- Perform a variety of administrative functions to support the day-to-day operations of the office.
- Arranges travel for employees
- Prepares draft PowerPoint presentations and reports when needed
- Serves as office receptionist
- Assists Program Management with operations
- Orders supplies
- Provides conference administrative support
- Manages conference room scheduling and set-up
- Supports the development of travel authorizations and expense reports
- Maintains staff vacation calendar
- Attends meetings, records meeting minutes, maintains sign-in sheets, and produces final meeting minutes
- Serves as primary point of contact for special events
- Physically coordinates special events set-ups, logistical support services, and catering
- Initiates orders and monitors response related to delivery of office supplies
- Escorts contractors and other visitors as needed
- Assists HR with operations
- Manages shredding service
- Performs duties while maintaining confidentiality when needed and demonstrating professionalism, flexibility, and the ability to exercise sound judgment
- Drafts and edits documents, including formatting, technical editing, and content using experience and attention to detail
- Fields incoming calls and other correspondence, responding accordingly
- Prepares, duplicates, binds, and distributes materials for meetings and other activities
- Performs other duties as assigned
It should be noted that this position includes administrative tasking management and excludes personnel management. Basic Requirements
- US citizenship due to contract requirement and nature of the work
- SECRET security clearance, due to contract requirement
- Bachelor's degree in Business Administration or related or equivalent experience
- 5 years' experience working in an administrative setting for a defense contractor
Preferred Requirements
- TS/SCI security clearance
- 10 years' experience working in an administrative setting for a defense contractor
- Ability to multitask in a dynamic environment with changing priorities
- Ability to develop rapport with everyone around you, always using a positive mindset with professionalism and discretion
- Excellent oral and written communication skills
- Word processing, presentation, and spreadsheet experience
