Job Description: The Academic Enterprise Administrator (AEA) plays a key role in supporting the Academic Enterprise Team of Arcadia Abroad by managing and overseeing a range of administrative functions related to program development, communication, academic systems, and marketing content. This position requires a collaborative thinker with strong organizational skills, attention to detail, and the ability to effectively manage multiple projects in a nimble academic environment. The ideal candidate will be able to turn ideas into action with expertise in project management, systems management, and communication, with a focus on academic program support and process improvement.The AEA will play an integral role in supporting the academic mission of Arcadia Abroad and ensuring the smooth operation of academic programs and services.Location: GlensideResponsibilities:Project Management (40%)
  • Provide project management support in the internal development and implementation of academic programs and initiatives.
  • Manage changes to existing programs, including structural modifications, changes in academic policies, and new learning opportunities.
  • Collaborate with staff to define project scopes, timelines, and deliverables, ensuring successful execution.
  • Track and report on the status of ongoing projects, addressing any potential issues or delays.
Academic Process Coordination (25%)
  • Serve as the primary point of contact between Arcadia University's Faculty Senate and Arcadia Abroad.
  • Coordinate the approval process for course syllabi, ensuring they meet institutional standards and are submitted on time.
  • Monitor syllabus revisions and ensure consistency with Arcadia Abroad's institutional guidelines and university accreditation requirements.
  • Maintain and update the syllabus shared drive, ensuring proper organization and accessibility for academic staff.
Systems Management (15%)
  • Provide support for Arcadia Abroad course registration processes.
  • Oversee and manage academic systems and software tools (e.g., learning management systems and registration platforms).
  • Troubleshoot issues, collaborate with IT teams for system updates, and ensure systems are optimized for staff, faculty and student use.
Marketing Coordination (10%)
  • Coordinate collaboration between Academic Enterprise and the marketing team to create and maintain up-to-date marketing content for academic programs and initiatives (e.g., program brochures, web content).
  • Ensure that academic marketing materials are current in public-facing areas such as the Arcadia Abroad website.
  • Assist with the development of promotional materials for new programs, academic events, excursions, and faculty accomplishments.
Assessment Support (10%)
  • Assist in the collection and reporting of assessment data for academic programs.
  • Support the development and implementation of program-level assessments to ensure continuous improvement in academic offerings.
  • Work closely with faculty and assessment teams to ensure accurate and timely submission of assessment data and reports.
Qualifications:Required Knowledge, Skills and Abilities:
  • Manage Complex Workflows: Proven experience in managing multiple projects simultaneously in a time-sensitive work culture.
  • Project Management: Successful experiences in managing complex projects with multiple stakeholders and deadlines.
  • Communication: Strong written and verbal communication skills, with the ability to interact effectively with faculty, staff, and leadership.
  • Organization: High level of organization and attention to detail, particularly in managing academic documents, calendars, and systems.
  • Systems Management: Experience with academic systems (LMS, student information systems, etc.) and proficiency in using technology to streamline processes.
  • Collaboration: Ability to work well with cross-functional teams, in a highly complex environment.
Minimum Qualifications:
  • Bachelor's degree in administration, business, or a related field.
  • Experience in an academic or higher education setting preferred.
  • 3 years professional experience managing multiple complex projects/processes among collaborative teams.
  • Proficiency in Microsoft Office Suite (Excel, Word, PowerPoint) and other project management tools (e.g., Asana, Trello, etc.).
Other Requirements: (e.g., certificates, license required):
  • Project management certification preferred.
  • Knowledge of academic program assessment processes and the ability to support staff in data collection and analysis a plus.
