Job Summary: The Accounts Receivable Clerk / Administrative Assistant will be responsible for managing the accounts receivable processes, including invoicing, processing payments, and maintaining financial records. This role also includes administrative duties such as sorting mail and handling bank deposits. The ideal candidate will be detail-oriented, organized, and capable of multitasking in a fast-paced environment. Key Responsibilities: Accounts Receivable: - Generate and send out invoices to customers. - Monitor customer accounts for overdue payments. - Process payments and apply them to appropriate accounts. - Reconcile accounts receivable ledger to ensure that all payments are accounted for and properly posted. - Follow up on, collect, and allocate payments. - Perform account reconciliations and resolve any discrepancies. Administrative Duties: - Sort, open, and distribute incoming mail. - Prepare and process bank deposits, including verifying and balancing receipts. - Maintain accurate and organized filing systems. - Answer and direct phone calls, take messages, and respond to inquiries. - Provide administrative support to the pharmacy team as needed. Customer Service: - Assist customers with billing inquiries and payment issues. - Provide excellent customer service by addressing customer needs and resolving any account-related issues promptly and professionally. Qualifications: - High school diploma or equivalent; associate's or bachelor's degree in accounting, finance, or related field preferred. - Proven experience in accounts receivable or a similar financial role. - Proficiency in Microsoft Office Suite (Excel, Word, Outlook). - Excellent organizational and time management skills. - Strong attention to detail and accuracy. - Ability to handle confidential information with discretion. - Good communication and interpersonal skills.
