Under the guidance of the VP of Client Services and Operations, you will be the primary point of contact for a diverse portfolio of clients, handling inquiries, eligibility issues, and member service escalations with professionalism and expertise. This role is integral to ensuring smooth client interactions and supports the Client Relations Management team by tackling complex inquiries, fulfilling reporting needs, and managing day-to-day administrative tasks. If you are passionate about client service and thrive in a fast-paced environment, we invite you to be a key player in our commitment to excellence.ESSENTIAL DUTIES AND RESPONSIBILITIES:Provide support to Client Relations Managers regarding the following:
- Assistance in processing report requests including but not limited to eligibility and experience reports.
- Participation/coordination of Health Fairs, Open Enrollment meetings and any other general client/broker meetings. This may include conducting in-person presentations and travel.
- Produce and distribute supplies to client's Benefits/HR office (e.g., member brochures, mail order packets, enrollment forms, etc.).
- Assist with updating client brochures and Summary of Benefits and Coverage (SBC's).
- Assistance in creating new client folders for new contract years, involving printing labels, archiving old files, and reorganizing filing cabinets.
Respond to clients on general plan design inquiries and service needs:
- Answer incoming member, client, and broker calls/emails that relate to enrollment requests and point of sale issues (i.e. research of credit requests, invoicing issues, and coordination with Finance dept. for processing of such requests)
- Filing enrollment paperwork (e.g., terminations, client requests)
- Produce and distribute member materials (e.g., member profiles, warning/max cap letters, proof of coverage letters).
- Research and respond to point-of-sale issues, DMR, EOB, member profile requests, etc.
- Conduct on-line eligibility (OLA) training with all clients, brokers, and internal staff (as requested) & provide printed and bound manual to each user prior to training.
- Provide welcome letters and kits to new clients.
- Ensure external users are provided with applicable updated OLA guides as needed.
- Provide day to day OLA support to clients, brokers and internal staff as needed, including:
- daily review of all eligibility processed within last 24 hours.
- reporting of NVA eligibility errors to ensure performance guarantees are satisfied.
- Serve as backup eligibility processing center in event NVA eligibility dept is unable to process.
- Support and respond to member portal website issues (e.g., how to retrieve forms, assistance with registering/logging in, refilling mail order medications, assistance with mail order, etc.).
- Manage returned mail by identifying correct addresses, updating system and resending.
- Other duties as assigned.
Ability to travel up to 25% (must have reliable transportation)EDUCATION AND/OR EXPERIENCE
- Must have high school diploma; College degree preferred
- Customer/Member Service experience preferred but not required
- Must obtain NJ State insurance producers license for Accident, Health or Sickness and obtain CE credits as needed to maintain license.
