Job Description:
The Accountant is responsible for reconciling various general ledger accounts including payroll and gift accounts, assisting with purchase order reviews, coordinates fixed asset inventory review, assists with grant maintenance including reconciling, invoicing and reporting, maintains Business Office help inbox, and various other items.Washington and Lee University actively promotes a dynamic and inclusive environment that allows students and employees of multiple backgrounds, cultures, and perspectives to learn, work, and thrive together.   • Reconciles various GL accounts which include payroll related accounts, gift clearing account, and reviews all funds gift account reconciliations periodically throughout the year.
  • Generates general ledger journal entries such as settling of due to/from between funds, monthly charges of internal items, and payroll adjustments.
  • Works with departments to resolve purchase order discrepancies and ensure receipts are processed on a timely basis. Resolves issues that arise with purchase orders and Amazon punch out program.
  • Assists with the review and issuance of purchase orders in the Workday system. Reviews open purchase orders, regularly, and closes as appropriate.
  • Reviews trackable spend in Workday and gathers information related to fixed assets, assigns, and affixes property tags, and updates the Workday fixed asset records accordingly.
  • Creates, reconciles, and maintains federal and private research grant and award financial systems and files in collaboration with the Assistant Controller, Grants and Endowments. Confirms and verifies budget and actual accounting applications for each grant along with allowable indirect costing. Works to ensure compliance with grants and sponsored research activities from a financial perspective.
  • Assists the Assistant Controller, Grants and Endowments with required financial filings. Ensures compliance with governmental (Federal, State) and other agency reporting requirements.
  • Reviews emails in the general help inbox and routes the emails to the appropriate person in the business office in a timely manner.
  • Coordinates physical inventory of fixed assets by sending departments a list of assets assigned to their department and updating the fixed asset system with changes listed.
  • Coordinates with departments on disposition of university property and records disposals of fixed assets in Workday.
  • Assists with implementing and testing changes in Workday and other applicable computer systems.
  • Maintains Business Office web site and written procedures.
  • Keeps up-to-date on information that affects accounting at W&L through newsletters, conferences, classes, etc. and be able to guide the non-exempt staff on any of these items that affect their areas of responsibility.
  • Prepares the necessary audit work papers as assigned during the annual audit process.
  • Performs internal audits as deemed necessary by Controller and/or Treasurer.
  • Additional related duties as assigned.
Minimum Qualifications:
  • A Bachelor's degree is required. It is preferred that the degree is in Accounting, or a closely related field.
  • Experience using a centralized accounting system.
  • Advanced knowledge and understanding of Microsoft office products, including a thorough knowledge of Excel and Word.
  • One or more years of work experience in a business environment beyond degree attainment is preferred.
