Benefits: Company paid basic term life, Paid Time Off, voluntary medical, dental, vision, STD, LTD, and 401(k) General Job Duties: Assists the CFO in effective utilization of their time and energies by providing administrative and technical assistance through scheduling appointments, meetings, preparing documents/correspondence, completing credit card reports, making and screening telephone calls and visitors while maintaining a professional disposition. Advises the CFO on administrative matters within the agency and coordinates activities, as necessary, between departments including ordering catering and materials for meetings and events. Develops, coordinates, and maintains recordkeeping and filing systems. Develops administrative procedures, standards, and methods of operation. Assists the CFO with journal entries, form completion, and financial reporting, including but not limited to GII reporting and the Agency's performance scorecard. Inputs vendor detail in accounting system and maintains vendor files for accuracy. Completes credit card applications, and inputs accounting invoices into workplace for approval. Completes bank reconciliations (4) for the department to ensure segregation of duties. These include PR account, AR account, OP account and ED account. Orders department supplies and enters credit card reports into GP. Monitors electronic form submissions and requests and sends them to those responsible within the department. Assists CFO with insurance applications and issues COI to departments who need renewals. Assists CFO with year-end. Serves as backup for all payroll functions. Completes other duties as assigned to support functions in the accounting department. Skills and Minimum Qualifications: Associate's degree required; bachelor's degree preferred. Minimum 4 years' prior administrative experience supporting executive level positions. Minimum 10 years' accounting department experience required. Initiative-taking with strong administrative skills, superb written and verbal communication skills, and the ability to maintain confidentiality. Ability to work and communicate with all individuals, within and outside of the organization, including those who may have disabilities, disadvantages, or other barriers. Knowledge and use of current Microsoft Office applications (Word, Excel, PowerPoint, Teams). Physical Requirements & Working Conditions: Normal office environment. Must provide own transportation for occasional travel to off-site locations. May have to lift 10-15 lbs.
