Freshpack is seeking an Accounting and Administrative Specialist to lead and organize our product development projects. This role plays a key part in ensuring accurate financial operations by managing AP/AR processes, supporting cost accounting, and contributing to organizational efficiency and growth.

Duties/Responsibilities:
Accounts Payable (AP):
- Process invoices using 3-way match principles (PO, receipt, and invoice).
- Manage the Unvouchered Receipt Report to ensure resolution.
- Reconcile vendor statements, identify discrepancies, and resolve issues.
- Prepare and match AP checks to invoices for approval and filing.
Accounts Receivable (AR):
- Prepare and send customer invoices.
- Lead collections efforts by proactively communicating with customers to ensure timely payments, resolving payment issues, and maintaining positive relationships.
- Match customer POs to invoices and maintain organized filing systems.
- Perform cash application and maintain accurate AR records.
- Match AR checks to invoices and ensure proper documentation and filing.
Filing and Documentation Management:
- Organize and maintain accurate filing systems for all AP/AR-related documents, including checks, invoices, shipping notices, customer orders, and BOLs.
- Ensure files are up-to-date and readily accessible for audit and reporting purposes.
Departmental Support & Strategic Contributions:
- Act as a backup for order entry processes to ensure continuity.
- Support the cost accountant in reviewing, reconciling, and closing production orders.
- Develop a comprehensive understanding of material flow and ERP data entry processes to identify and implement workflow improvements.
- Assist with inventory control tasks, including creating and distributing production reports to tolling customers.
- Analyze job costing discrepancies and recommend corrective actions (RCCA).
- Assist the CFO with various administrative tasks.
Qualifications
Experience:
- 0–2 years of experience in an accounting, bookkeeping, or finance-related role (internship experience acceptable).
- A degree in Accounting, Finance, or a related field.
- Basic understanding of accounts payable, accounts receivable, and general accounting principles.
- Exposure to ERP systems or similar software is a plus but not required; training will be provided.
- Familiarity with cost accounting principles is a plus.

Salary
- $50,000 - $60,000 per year (depending on experience).
