Under the direction of the Director of Finance, the Accounting Assistant is responsible for maintaining accurate and up-to-date financial records for the organization. This role is crucial in ensuring financial transparency and compliance with accounting standards. ESSENTIAL DUTIES AND RESPONSIBILITIES:

  • Financial Record Keeping
    • Maintain accurate and detailed records of all financial transactions.
    • Reconcile bank statements and credit card accounts on a monthly basis.
    • Reconcile general ledger accounts.
    • Process accounts payable and receivable, including invoicing, payments, and collections.
    • Prepare regular journal entries, including payroll entry
  • Financial Reporting
    • Record expenditures for grants, project budgets and restricted funding.
    • Maintains regular project budgets/reports, such as monthly expenditure reports.
    • Support preparation of required financial reports to funders and regulatory agencies.
    • Assist with the preparation of the annual audit process.
  • Budgeting and Forecasting
    • Assist in developing and monitoring the organization's project and school based budgets.
    • Provide financial data and analysis to support budgeting and forecasting processes.
  • Compliance
    • Ensure compliance with all applicable accounting standards, tax regulations, and nonprofit guidelines.
    • Maintain organized financial records.
    • Adhere to agency approved accounting policy and procedures and internal controls.

Requirements SKILLS & QUALIFICATIONS:
  • High school diploma or equivalent.
  • Associate degree in accounting or related field preferred.
  • 2-3 years of general accounting experience, preferably in the non-profit sector
  • Proficiency in accounting software programs (e.g., Financial edge).
  • Proficient in Microsoft Office including programming in Excel and other business programs
  • Strong attention to detail and accuracy.
  • Excellent organizational and time management skills.
  • Ability to meet deadlines and work under pressure.

Work Environment: This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines. Travel: Travel is not anticipated with this position.
