Under the Fair Labor and Standards Act this position is non-exempt from overtime. Actual salary placement will be in accordance with the salary procedures of the Frederick County Public School System. Please see linked salary scale for the full range. Role The Cashier and Record Retention Associate reports to the Accounting Manager and is responsible for providing financial, administrative and clerical services. This includes processing and monitoring cash receipt transactions, record retention while providing these services in an effective and efficient manner to ensure that the financial records are accurate. Essential Functions Reporting directly to the Accounting Manager, the Cashier and Record Retention Associate performs the following duties:
  • Processes daily deposit log of checks and cash received.
  • Collects money and provides receipts.
  • Verifies coding and amounts paid for invoices.
  • Opens and distributes department mail.
  • Verifies that transactions comply with financial policies and procedures.
  • Completes data entry of cash receipts as needed.
  • Coordinates with Accounting Manager for resolution of any cash collection issues.
  • Responds to inquiries from employees regarding status of deposits and other related matters.
  • Assures flow of documents and all proper procedures are accomplished in timely manner.
  • Maintains archive system for all financial documents for the Fiscal Services Division.
  • Maintains historical records for the Fiscal Services Division by scanning and filing documents.
  • Serves as backup for other accounting functions as needed.
  • Assists in the interpretation of laws, rules, regulations and fiscal policies and procedures as they apply to functions within the record retention sections or other phases of highly specialized accounting work needed by the Fiscal Services Division.
  • Reports promptly for work, utilizes time wisely and maintains an acceptable attendance pattern.
Overtime hours may be required.Performs other duties as assigned by the Accounting Manager.Required Qualifications
  • High school diploma or equivalent (G.E.D.)
  • Five (5) years of secretarial/cashier/record retention experience.
  • Demonstrated proficiency in the use of office technology to meet administrative needs.
  • Demonstrated ability to effectively use word processing, database, spreadsheet, and email software.
  • Demonstrated ability to maintain confidentiality.
  • Demonstrated ability to communicate clearly and concisely in oral and written form.
  • Demonstrated ability to work under pressure and maintain flexibility.
  • Demonstrated strong human relations skills.
  • Demonstrated proficiency in business math.
  • Capable of performing the essential functions of the position with or without reasonable accommodations
  • Regular and predictable attendance.
Preferred Qualifications
  • Experience in PeopleSoft Accounts Receivable, Record Retention.
  • Work experience in a public education or government setting.
  • Proficiency in Microsoft Office applications and the internet.
  • Familiarity with the FCPS policies, goals and programs.
