Job DetailsJob Location 1100 Washington Street - Boston, MA Reporting to the Accounting Manager, the Accounting Associate is responsible for direct customer service and day to day administration of payroll processing, completing payroll and employee benefits journal entries and related workpapers, completes other GL entries and workpapers as assigned, serving as back-up for AP functions.
  • Reviews all timesheets for accuracy and coordinates with HR and departments to correct missing punches and incorrect timesheets
  • Reviews and enters retros, vacation payouts, bonuses and stipends, and other prior period adjustments accurately and timely.
  • Transmits accurate payroll in the payroll system by deadline.
  • Prepares manual checks as requested.
  • Compiles payroll data, such as hours worked, benefit time taken, unpaid hours, and retroactive payments to be withheld from time sheets and other records.
  • Runs biweekly payroll reports and other payroll reports as requested, by established deadlines, including but not limited to: check register, labor distribution report, 401K report, and other reports as requested and developed.
  • Researches and makes recommendations to improve payroll services and report functions.
  • Serves as a back-up for accounts payable, codes invoices, processes AP checks and mails the checks, and coordinates with vendors and departments as assigned.
  • Records journal entries for payroll transactions including bi-weekly payroll, payroll accrual, and manual checks, timely and accurately.
  • Records journal entries related to employee benefits including vacation accrual, health insurance allocation, and other employee benefits related GL entries, timely and accurately.
  • Clears AP checks in Solomon and completes bank reconciliation timely and accurately.
  • Picks up patient co-pays, reconciles co-pays, making check deposits and cash deposits in the bank.
  • Working with senior accountants to complete fixed assets and depreciation entries, prepaid expenses entries, and other journal entries as assigned.
  • Reconciles assigned GL accounts, including payroll accrual, employee benefits withholding accounts, prepaid expenses, and other GL accounts by assigned deadlines.
  • Assists in other accounting and administrative assignments as required by the Controller and Accounting Manager.
Qualifications:
  • Associate degree with a minimum of 2-3 years of experience with payroll administration.
  • Proficient in MS Excel, Word, GL systems, and payroll systems.
  • Attention to detail and accuracy.
  • Ability to maintain confidential information.
  • Excellent communication skills with the ability to communicate with employees, HR, and Finance regarding payroll.
  • Deliver excellent customer service.
