JOB SUMMARY

As a member of the Controller's Office team, the Accounting Clerk reports to the Controller and is responsible for maintaining and monitoring general ledger activities, as well as reconciling general ledger accounts primarily in the areas of cash and receivables. The Accounting Clerk is a customer-focused accounting position serving the University's Students, Faculty, and Staff ensuring the accurate recording and deposit of all cash receipts of the institution. This role, while primarily focused on the accounting for cash at the University, will also support the Accounting Manager in administration of the University's endowment by obtaining monthly valuations and handling any cash needs of the endowment. This role requires significant interaction with the Simmons community as they make payments or require assistance with other areas, as noted below.

ESSENTIAL JOB FUNCTIONS

  • Responsible for recording all payments received by the University in our financial system and preparing the daily cash reporting and deposit with the bank.
  • Ensure payments are accurately recorded to the proper student accounts or internal budget accounts.
  • Prepare daily bank deposits for various bank accounts utilized by Simmons.
  • Perform regular activity and tracking related to the University's endowment investments: statements, capital calls, and subscription paperwork.
  • Work closely with colleagues in the accounting department in support of the ongoing reconciliation process around cash receipts and disbursements.
  • Work closely with colleagues in other departments, in particular Student Financial Services, to investigate questions that arise regarding payments received by the University.
  • Work with various departments to correct any errors or variances in a timely manner.
  • Support departmental colleagues in the posting and uploading of journal entries into the University's financial system and reconciling accounts as needed.
  • Balance assigned general ledger accounts; verifies, allocates, posts, reconciles transactions; researches and resolves discrepancies.

OTHER DUTIES AND RESPONSIBILITIES

  • Compile audit support as needed for the year-end financial statement audit.
  • Other duties as assigned.

REQUIRED QUALIFICATIONS

  • Bachelor's Degree Required, preferably in a related field.
  • A minimum of three years of progressively responsible experience in accounting in a non-profit environment. Experience with gift and grant accounting is required.
  • Prior experience using automated systems, spreadsheet applications, and word processing software required.

PREFERRED QUALIFICATIONS

  • High School degree required.
  • Minimum 1-2 years of relevant experience required.
  • Prior experience using automated systems, spreadsheet applications, and word processing software required.
  • Experience using Workday, while not required, is preferred.

WORK ENVIRONMENT & CONDITIONS/PHYSICAL DEMANDS

  • This is a full-time, 40 hours a week position.
  • This position has hybrid eligibility, with up to 2-3 days remote.
  • Normal office setting.
  • Frequent sitting for long periods; occasional kneeling, crouching, pushing, pulling, walking and standing; occasional reaching above and below desk level.
  • Frequent lifting/carrying of papers, files, equipment, and material weighing up to 10 pounds; occasional lifting up to 25 pounds.
  • Frequent fine manipulation sufficient to operate a computer keyboard; frequent grasping to handle individual papers, write and take notes, and feel individual objects.
