Overview:

Western Michigan University Homer Stryker M.D. School of Medicine is recruiting a Shipping and Receiving Coordinator. Responsible for performing activities necessary to prepare invoices and other business expenses that are paid through the document management system. Process, place and completes purchase orders that meet the organizations polices and guidelines. Process and document receipt of incoming packages at assigned location. Ability to train other employees on how to follow documented accounting procedures. Responsible for periodic and cyclical physical inventory activities related to inventory and fixed assets. Responsible for preparing special reports for management as well as other assigned administrative duties.

Responsibilities:
  • Issue, process and place purchase orders that meet policies and guidelines.
  • Compares purchase orders to departmental budgets to ensure there is funding for the purchase.
  • Process, place and complete orders for non-stock office, medical, printing and other supplies as assigned.
  • Assist body transport vendors and funeral home employees with access to facilitate delivery to the pathology department.
  • Receives and delivers/stocks all incoming packages. Facilitate pick-ups from delivery organizations
  • Investigate discrepancies by effectively communicating with vendors and others outside the department.
  • Monitors capital expenses for budgetary compliance.
  • Performs physical inventory of storeroom items and fixed assets as needed.
  • Availability to work occasional overtime on weekends or evenings to complete time sensitive projects.
  • Acquires knowledge for new technology and policy/procedure revisions.
  • All other duties as assigned.
Qualifications:

EDUCATION AND/OR EXPERIENCE:

  • Associates degree preferred.
  • Advanced knowledge of personal computing systems and a basic to advanced knowledge of software packages including Excel or other spreadsheet programs also required.

OTHER SKILLS AND ABILITIES:

  • Ability to operate automated standard office equipment such as multi-line phone system, calculator, copier, fax machine, shredder, etc.
  • Ability to type at least 50 wpm.
  • Ability to use a numeric keypad with a speed of at least 12000 keystrokes per hour.
  • Ability to effectively communicate with others verbally and in writing.
  • Ability to meet assigned deadlines.
  • Ability to interpret, comprehend, and transmit complicated and detailed instructions accurately.
  • Demonstrates the ability to recognize priorities in duties.
  • Able to perform duties independently, with a minimal need for direct supervision.
