Job Summary: The Payroll Assistant performs a variety of administrative tasks related to the accurate and timely processing of employee compensation. This position is responsible for ensuring compliance with relevant laws, regulations, and deadlines while maintaining a high level of confidentiality. Essential Functions: Assist in the preparation and processing of weekly payroll cycles Follows defined payroll processes and procedures Stay informed about relevant federal, state, and local payroll regulations Generate payroll reports as needed for management and audit purposes Verify and reconcile payroll discrepancies and resolve any issues promptly Collaborate with HR, finance, and other departments to ensure accurate and timely flow of information Address employee inquiries related to payroll in a timely and professional manner Support the administration of employee benefits related to payroll, such as health insurance and retirement plans Maintain payroll records including entry into the Human Resources Information (HRIS) system, and 401K portals Maintains confidentiality regarding wage and other sensitive information Administration of weekly payroll deductions for accounts receivable and 401k Prepare and process vouchers for payroll taxes and garnishments for accounts payable Review and approve submitted timesheets and paid time off Independently complete all processes of weekly payroll in the absence of the payroll manager Other related duties as assigned Qualifications Required: High school diploma or equivalent Valid Driver's license in state of residency with acceptable driving record Must be able to pass Department of Transportation alcohol and drug screen Proficiency in payroll software and MS Office applications, especially Excel and Google Workspace Strong attention to detail and accuracy in data entry Excellent organizational and time management skills Strong communication and interpersonal skills Ability to work handle sensitive information with discretion and maintain confidentiality Preferred: Associates Degree or additional education in accounting, finance, or related field Prior experience in payroll administration or a related field Knowledge of payroll laws and regulations Familiarity with payroll software and systems This is an hourly position with a range of $16-$18 an hour based on qualifications and experience. This is primarily a sedentary office classification although standing in work areas and walking between work areas may be required. Finger dexterity is needed to access, enter, and retrieve data using a computer keyboard, typewriter keyboard or calculator, and to operate standard office equipment. Positions in this classification occasionally bend, stoop, kneel, reach, push, and pull drawers open and closed to retrieve and file information. Employees must possess the ability to lift, carry, push, and pull materials and objects weighing up to 25 pounds. Work Environment: The duties of this job are performed primarily in an office environment and occasionally, in a commercial motor vehicle terminal operations environment thereby experiencing some minor to moderate level of noise due to office/CMV equipment. Exposure to various climate conditions, fumes, dust, odors, oil/grease, and gasses.
