Accounts Payable AssistantRegular Full-Time10909 Memorial HighwayTampa, FL, USSalary Range: $21.00 to $24.00 Hourly, DOEJOB SUMMARY: Reports to the Accounts Payable Supervisor and assists with theprocessing of vendor payments in accordance with CHN policies and procedures andmaintaining accurate and thorough vendor records and files. Participates in theorganization's continuous quality improvement efforts.ESSENTIAL FUNCTIONS:1. Assists the Accounts Payable Specialist with full cycle AP process:a. Assists with review of Expenditure Request Forms and invoices foraccuracy, completeness, and compliance with CHN policiesand procedures.b. Assists with data entry into the accounting system (MIP) with a highdegree of accuracy, detail, and timeliness based on detailed allocationmethodologies, which may vary.c. Assists with entering invoice information for vendor draft and manual ACHpayments timely.d. Assists with review of monthly employee mileage requests for accuracyand enters for payment.e. Requests W9 and ACH payment information for all vendors and maintainsaccurate active vendor listing.f. Assists with researching invoice and payment details and providesinformation as needed.g. Assists with reconciling monthly vendor statements.h. Scans and files payments and backup documentation according to FiscalDepartment procedures and for applicable funder requirements.i. Provides backup to supervisor for generating weekly accounts payableACH and check run of payments due along with required reports; ensurestimely disbursement of the payments.2. Provides backup to supervisor for remote desktop deposits and weekly cashreport generation for Fiscal staff use.3. Assists with gathering requested accounts payable information for funder deskreviews and financial audits.4. Is custodian of Administration petty cash.5. Orders office supplies for Fiscal Department.6. Assists with special projects as requested by supervisor or CFO.MINIMUM QUALIFICATIONS REQUIREMENTS:Education & Experience: Associate's degree in accounting, business or related field froman accredited college and/or university preferred. Minimum 4 years of experience withBlackbaud, MIP, and/or other ERP systems. Strong Excel skills, including use ofVlookups, Xlookups , and pivot tables. Must possess and maintain a valid Florida driver's license with no record ofcriminal driving offense of license suspension. Must possess means of providing job related transportation and show proof ofrequired insurance. Must be insurable under CHI's current auto insurance policy. Must successfully complete and maintain FDLE clearance, Federal backgroundand state criminal background check and sexual predator screening.Knowledge, Skills and Abilities: Ability to perform moderately complex mathematical calculations. Ability to handle multiple interruptions while performing detailed work. Must have reliable in-person attendance and extremely trustworthy. Must be proficient in Microsoft Office Suite. Excellent organizational skills and attention to detail. Excellent time management and highly organized. Consistently and accurately follow established policies and procedures. Ability to maintain confidential and meticulous records. Ability to communicate effectively with supervisors, fellow staff membersand others Ability to work independently as well as part of a team in a fast-pacedaccounting environment Ability to communicate effectively, verbally, and in writing. Ability to establisheffective working relationships with co-workers and visitors. Possess effective interpersonal skills, outgoing, positive, high energy, friendly, anda can-do attitude.ESSENTIAL PHYSICAL SKILLS: Possess good hearing (with or without hearing device). Ability to effectively operate a telephone and personal computer. Frequent use ofhands, voice and hearing. Ability to speak clearly and effectively. Ability to perform moderate lifting (15-20 lbs).
