Bargaining Unit: UUP Job Description: The Department of Finance at SUNY Downstate Health Sciences University is seeking a full-time Staff Assistant / Accounts Payable Associate. The Staff Assistant supports in the coordination of the agency's accounting activities to ensure the timely and accurate vendor and employee expense payments adhering to the New York State Law. This individual will work closely with various departments and the staff associates to improve and expedite the payment process. Provide strategic financial/accounting support to assist the with the Accounts Payable functions. Work with all necessary parties in the preparation of management reporting and presentations. Assist with ensuring that the reports accurately reflect the financial position of the division. Additionally, the successful candidate will:
- Perform all duties associated with vendor accounts, i.e. review all invoices for appropriate documentation i.e. receiving, valid purchase order/contract, encumbrance, approval and coding prior to processing the invoices within the New York State guidelines.
- Manage vendors in the accounts Payable database.
- Communicate with vendor and end user to ensure required information is available for prompt payment processing.
- Process employee reimbursements in accordance with established State's policies and procedures.
- Scan, maintain and retrieve electronic voucher files, as directed.
- Reconcile vendor statements, research and settle vendor discrepancies and billing issues.
- Ensure all internal controls policies and procedures are adhered to.
- Facilitate the payment of invoices using various financial systems.
- Provide excellent customer service to both internal and external customers.
- Interact with various office administrators and purchasing staff, as well as SUNY Administration and representatives from the Office of the State Comptroller.
- Keep abreast of the rules and regulations of the New York State Law.
- Participate in continuous process improvement efforts to support current and future systems enhancements.
- Manage Lawson interface with State University system (SUNY).
- Assist with other projects and duties as assigned by management.
Required Qualifications:
- Associate's Degree.
- 3+ years of experience in accounts payable or comparable experience preferably working in a healthcare or university environment.
- Ability to work in a team environment and communicate effectively within all levels of the organization.
- Strong professional phone and email skills.
- Eye for detail and accuracy is imperative.
- Ability to prioritize and multitask.
- Strong interpersonal and analytical skills.
- Effective oral and written communication skills.
- Experience with Lawson/Oracle or a large ERP system.
- Be able to perform various special projects and analysis as requested by management.
- Proficient in Microsoft Excel & Pivot tables, Experience with Microsoft Suite.
- Strong computer skills and ability to learn the internal systems.
Preferred Qualifications:
- Bachelor's Degree in Accounting or related field is preferred.
- Knowledge of New York State Finance Law is preferred.
