DescriptionWoodlands Market, Marin and San Francisco's premier gourmet grocery store, has an opening for an Accounts Payable Clerk at our Kentfield Corporate Office! The Accounts Payable Clerk is responsible for compiling and organizing vendor invoices and supporting documents to prepare them for data entry into the accounting system; specifically confirming appropriate approval, product receipt date, location and department coding and invoice shortages or adjustments. The AP Clerk is responsible for other tasks relating to the processing of invoices such as data entry, proofing batches and posting. The AP Clerk communicates with all appropriate persons to resolve any discrepancies, files and maintains accurate accounting records.
- Collaborating with internal departments to gather, analyze, and interpret relevant financial data.
- Receiving, processing, verifying, and reconciling 300-500 invoices per week.
- Comparing system reports to balances and verifying entries.
- Charging expenses to accounts and cost centers, as well as controlling petty cash spending.
- Verifying vendor accounts, paying vendors, and resolving purchase order, invoice, or payment discrepancies.
- Reconciling account transactions with the general ledger.
- Maintain, monitor and track all accounts payables.
- Vendor statement reconciliation testing for completeness and timeliness.
- Assist to organize and maintain vendor and corporate files.
- Assist with answering phone calls.
- Maintain ordering of office supplies.
- Facilitate and troubleshoot copier repairs.
Requirements:
- Basic understanding of accounts payable.
- Knowledge of Microsoft platform, Great Plains (accounting), Excel and Word.
- Strong attention to detail
- Able to prioritize and organize work and handle high volume of invoices from multiple locations.
- Teamwork and collaboration skills
- Able to handle highly sensitive and confidential information.
- Excellent verbal and writing skills.
- Flexible
- Strong 10 key skills
- Grocery experience a plus
