Job Description:
SUMMARY: The Accounts Payable Clerk reviews invoices and statements (verifying information, ensuring sufficient and correct backup, ensuring sufficient funds have been applied, determining accounts involved, coding transactions, and processing material through data processing for application in the accounting system); and/or analyzes and reconciles computer printouts. Ensures timely payments of vendor invoices and expense reports. Maintains accurate records and reviews applicable accounting reports. RESPONSIBILITIES:
  • Organize and match invoices to POs
  • File invoices accurately and maintain organized records for easy retrieval.
  • Collaborate with departments to obtain necessary information for invoicing processing.
  • Ensure approvals have been received on invoices.
  • Ensure vendor's information accuracy in the accounting systems (Status, 1099, Employees, Subcontractors, General Contractors).
  • Ensure backup meets accounting department criteria and standards.
  • Generate checks and ACH payments.
  • Research vendor statements.
  • Contact vendors to discuss discrepancies or missing information.
  • Produce and review AP reports.
  • Report AP activity to the Controller.
  • Perform other related duties as required and assigned.
QUALIFICATIONS:
  • Proven experience minimum 2 years as an Accounts Payable Supervisor or in a similar role, preferably in the hospitality industry.
  • Strong attention to detail and accuracy in data entry and record keeping.
  • Experience with accounting software; M3 and QuickBooks Desktop.
  • Experience with BirchStreet eProcurement system.
  • Proficiency in Microsoft Office and Microsoft Excel.
  • Availability to work independently and collaboratively in a team environment.
  • Good problem-solving skills.
  • Excellent communication skills.
  • Ability to multi-task.
EDUCATION:
  • Associate' degree in accounting or equivalent from a technical school, or two-year related experience and/or training, or equivalent combination of education and experience.
LANGUAGE SKILLS:
  • Excellent verbal communication skills in English and Spanish (preferred).
  • Ability to read and interpret documents such as safety rules, operating and maintenance instructions, and procedure manuals.
  • Ability to write routine reports and correspondence.
  • Ability to speak effectively before groups of customers or employees of the organization.
REASONING ABILITY:
  • Excellent verbal communication skills, with the ability to interact effectively with guests, associates, and external partners.
  • Ability to work well under pressure and respond quickly and effectively to emergencies.
