Job Description:
Full-time Accounts Payable Clerk needed in PennStuart's Abingdon, VA office.Job Summary:

The Accounts Payable Clerk is responsible for processing invoices, ensuring timely payments, and maintaining accurate financial records in accordance with company policies and legal requirements. This role is crucial in managing the law office's expenses and supporting the financial operations to ensure smooth and efficient functioning.

Key Responsibilities:
  • Invoice Processing:
    • Receive, review, and verify invoices for accuracy and compliance with company policies.
    • Enter invoices into the accounting system.
    • Match invoices to purchase orders and contracts when applicable.
  • Payment Processing:
    • Prepare and process electronic transfers and payments.
    • Prepare and perform check runs.
    • Ensure payments are made in a timely manner according to the payment terms.
  • Vendor Management:
    • Maintain and update vendor files and records.
    • Communicate with vendors regarding discrepancies, payment status, and other related issues.
    • Reconcile vendor statements and correct discrepancies as necessary.
  • Record Keeping:
    • Maintain accurate and organized records of all accounts payable transactions.
    • Assist in month-end closing by preparing reports and reconciling accounts.
    • Ensure all financial documents are properly filed and easily accessible for audit purposes.
  • Compliance:
    • Adhere to company policies and legal regulations regarding payments, taxes, and other financial obligations.
    • Assist in the preparation of tax forms, such as 1099s, and other required documents.
  • Support:
    • Assist the accounting team with other tasks as needed, including accounts receivable and general ledger entries.
    • Provide support during internal and external audits.
Qualifications:
  • Education:
    • High school diploma or equivalent required; Associate's degree in accounting or finance preferred.
  • Experience:
    • 1-3 years of accounts payable or related experience, preferably in a law office or professional services environment.
  • Skills:
    • Strong understanding of basic accounting principles.
    • Proficiency in accounting software, especially Excel.
    • Excellent organizational skills and attention to detail.
    • Ability to work independently and as part of a team.
    • Strong communication and interpersonal skills.
    • Ability to handle confidential information with discretion.
Working Conditions:
  • Office environment with standard working hours.
  • Occasional overtime may be required during busy periods, such as month-end or year-end closing.
