Job Summary

This position is responsible for coordinating all accounts payable for the College.

Responsibilities

1 -

Coordinates accounts payable, including check requests and purchase orders.

2 -

Assists Accountant with employee reimbursements and travel expense statements.

3 -

Matches invoices to purchase orders and contracts; evaluates contracts to insure state purchasing requirements are met; evaluates contracts and invoicing to insure contractual obligations are met.

4 -

Works with vendors and employees to resolve billing issues.

5 -

Balances general ledger accounts and encumbrances; maintains financial data in accounting software; assists with monthly and annual review, balancing and reporting.

6 -

Prepares and files insurance claims; analyzes and interprets insurance policies; acts as liaison with state risk management.

7 -

Manages office databases; orders office supplies; and maintains office files and records.

8 -

Tracks, analyzes and projects utility expenses.

9 -

Performs related duties as assigned.

Required Qualifications

Educational Requirements

* Baccalaureate degree in a course of study related to the occupational field or more than two years direct experience

Other Required Qualifications

* Must successfully pass a credit check

Preferred Qualifications

Preferred Experience

* Experience with PeopleSoft Financial Systems software.

KNOWLEDGE

* Knowledge of college and departmental policies and procedures.

* Knowledge of computers and job-related software programs.

* Knowledge of risk management principles.

* Knowledge of travel and purchasing policies and procedures.

SKILLS

* Skill in preparing a variety of regular and special reports.

* Skill in preparing a variety of correspondence.

* Skill in prioritizing and organizing work.

* Skill in the use of such office equipment as a computer, scanner, fax machine, and copier.

* Skill in oral and written communication.
