Description The Accounts Payable Manager is accountable for managing the end-to-end accounts payable process for the organization. The Accounts Payable manager liaises with all departments to ensure the timely and accurate processing of invoices and credits, proper tax compliance, and reliable, easily accessible recordkeeping. The Accounts Payable Manager provides strong leadership and direction for the accounts payable department and effectively manages staff to perform at optimal levels. Identifies and implements continuous improvement initiatives with the Finance Process Improvement team and coordinates with Information Technology to resolve system issues, set project priorities, and better leverage systems. The right candidate will possess strong technical, organizational, communication, and interpersonal skills as well as demonstrate a positive attitude that matches the entrepreneurial spirit of the company.
Responsibilities: Administrative Tasks - Create and develop a strategy for measurable department short- and long-term goals and set priorities.
- Monitor compliance with the Company's sales tax policies/practices, escheatment, and 1099 reporting
- Create accounts payable processing and procedural manual for the department
- Ensure compliance to period-end closing requirements and proper controls environment
- Ensure proper approvals and timely payments through review of cash disbursements and open payables management
- Ensure accurate recording of all invoices, particularly those with variances to purchase orde
Employee Supervision - Mentor team to set measurable personal goals aligned with department goals. Develop team skills utilizing tools available (LinkedIn Learning, conferences, etc).
- Develop staff capabilities including cross training and ensuring back-ups are available for all functions
- Establish staff metrics to measure productivity and ensure team is producing the required output
Account Management - Manage vendor contractual arrangements and discount terms negotiation in conjunction with Merchandising Dept.
- Oversee management of the vendor master, identifying opportunities to
- streamline existing data and templates
- update tax reporting information
- work with Diversity Team to implement reporting on Fresh Direct's vendor pool
- Monitor execution of policies and procedures, working to update for evolving business situations
Project Management - Proactively identify problems, work with team members to find solutions, and communicate throughout to stakeholders
- System improvements- Anticipated 2022 implementation of new accounts payable software providing improved invoice scanning and workflow management. The Accounts Payable Manager will be a key stakeholder shaping configuration and transitioning Accounts Payable team and business partners onto the new software.
- Lead/Manage the coordination of external, internal, and compliance audits involving accounts payable
- Lead/Manage the process for the completion of all financial reporting to regulatory agencies such as 1099 process
- Reporting on progress towards metrics and goals
Education and Qualifications: - Bachelor's Degree with an emphasis on courses in accounting, finance, or related field preferred
- Minimum seven (7) years of progressive experience with proficiency in automated recordkeeping/archiving systems. Minimum three to five (3-5) years of relevant management
- Experience in an inventory driven industry (three-way-match, PO exceptions, pricing variations, freight claims, etc)
Knowledge, Skills, and Abilities & Metrics - Strong organizational skills and proven leadership ability, with record of success in change management, leading a team to achieved assigned goals
- Thorough knowledge of accounts payable, tax compliance, and accounting policies and procedures
- Excellent communication and presentation skills and the ability to work well with others
- Proficient with Microsoft applications
- Experience with SAP preferred
- Highly organized and professional
- Demonstrate open & collaborative leadership style that encourages teamwork and cooperation
- Proven ability to manage staff, cross-train and guide
- Strong work ethic with drive to achieve
- Effective problem solver
