ABOUT THE POSITION:

Hawai'i Preparatory Academy is seeking a detail-oriented and organized Accounts Payable Specialist to join our Business Office. This position is responsible for all aspects of payment processing at HPA, including overseeing accounts payable via Paymerang, managing expense reporting through Bill Spend & Expense, and collaborating with departments to ensure timely and accurate invoice approvals. The ideal candidate will have strong organizational skills, attention to detail, and the ability to work both independently and as part of a team.

Key Responsibilities:

  • Process payments to vendors, employee reimbursements, and refunds, utilizing Paymerang and Financial Edge for accounts payable transactions.
  • Oversee employee expense reporting and reimbursement processes through Bill Spend & Expense, ensuring timely and accurate submissions.
  • Maintain and update the vendor database, including setting up new vendor accounts and managing existing relationships.
  • Address vendor inquiries regarding payments and account statuses.
  • Collaborate with department heads to streamline invoice approvals and ensure timely processing.
  • Verify accuracy of invoices and account & program codes and match them with purchase orders when necessary.
  • Year-end reporting, including 1099 forms and fiscal year-end audit procedures.
  • Maintain meticulous records of all accounts payable transactions and ensure compliance with HPA's financial policies.

Minimum Qualifications:

  • Associate's degree in Accounting, Finance, or a related field; bachelor's degree preferred.
  • A minimum of 2 years of direct experience in accounts payable or a similar financial role.
  • Basic knowledge of accounting principles and practices, including accounts payable processes.
  • Proficiency in accounting software and Microsoft Office Suite, particularly Excel.
  • Strong attention to detail and accuracy in data entry and financial record-keeping.
  • Excellent verbal and written communication skills.
  • Strong organizational skills with the ability to prioritize tasks and manage time effectively.
  • Ability to identify and resolve discrepancies in invoices and payments.
  • Capability to work collaboratively within a team and support cross-functional efforts.
  • Understanding of and commitment to maintaining confidentiality regarding sensitive financial information and vendor details.
