Background
* Works under general supervision of the Senior Accounting Specialist to ensure the company's financial obligations are recorded promptly and accurately
* Performs a variety of tasks in the daily processing of Accounts Payable transactions that are sometimes non-routine and require the application of a basic knowledge of accounting practices
* Provides administrative support to ensure effective and efficient office operations
Tasks
* Validate invoices and credits for goods and services against receipts and purchase orders
* Verify that transactions comply with financial policies and procedures
* Post prepared invoices and credits to ERP
* Assist in managing weekly check (ACH and printed) runs
* Match vendor invoices to payments and prepare vendor checks for mailing
* Create manual payments for ACH batches and communicate remittance information to vendors
* Analyze vendor statements and rectify discrepancies
* Validate employee expense reports and arrange reimbursement
* Collaborate with stakeholders to resolve problematic invoices
* Maintain accurate vendor and purchase information, both physical and digital
Specifications
* Vocational or college accounting experience helpful, but not necessary
* Three (3) years of work experience and/or on-the-job training that provided knowledge of generally-accepted principles, theories, and practices used in bookkeeping
* Knowledge of:
* Accounts Payable practices and procedures (intermediate level)
* Office equipment, methods, and procedures (basic level)
* MS Office Suite (intermediate level)
* Skill in:
* Organizing, analyzing, and interpreting data
* Customer service, both within the company and outside the company
* Ability to:
* Apply Accounts Payable practices and procedures
* Apply office environment methods and procedures
* Communicate effectively, orally and in writing, with a wide variety of people
* Multi-task and work with occasional-to-frequent distractions
* Understand and interpret written procedures and guidelines
* Prioritize and execute tasks according to time, subject matter, stakeholder, etc.
* Seek out and discuss process improvements
* Operate electronic and/or standard office equipment
* Maintain confidentiality
* Pass pre-employment screening
