Accounts Payroll SpecialistOverview:

Responsible for all A/P functions for American Electric.

We are looking for an Accounts Payable Specialist to join our team. The ideal candidate for this role should have at least 3 years of experience in accounting. Competence in financial and bookkeeping software is necessary. In-depth knowledge of accounts payable principles, accounting standards, and industry regulations is a must. An understanding of current accounting trends is a plus. Expert-Level knowledge of spreadsheets is crucial, and experience with word-processing tools is essential for generating and writing reports for record-keeping and presentations.

Primary Duties:
  • Receive and process a high volume of invoices daily
  • Reconcile company's credit card statements
  • Manage accounts payable email inbox and respond to inquiries promptly and professionally
  • Electronically file appropriate documents
  • Payment processing - preparing payment batches accurately and timely and ensuring all payments are in accordance with purchasing policies and procedures.
  • Produce/Review aging reports and identify payments to be made on a weekly basis
  • Track all vehicle ownership information & manage postage machine
  • Complete credit applications
  • Provide documentation to assist in resolving payable issues.
  • Proactively contact vendors to preserve and enhance vendor relationships
  • Monitor outstanding checks
  • Assist and accurately process 1099s annually & assist with month-end closing activities and audits related to accounts payable
  • Maintaining and updating the accounts payable manual/SOP
  • Provide support for other accounting and finance functions as needed.

Supervisory Responsibilities:

There are no supervisory responsibilities associated with this position.

Education and/or Experience:
  • BA in Accounting preferred; may substitute 8 years of extensive accounting and accounts receivable experience for degree.
  • Minimum of 4 years accounts receivable experience with a minimum of 2 years in a complex and/or multi-company environment required.
  • Federal invoicing experience strongly desired.
Knowledge, Skills, and Abilities:
  • Working knowledge of government contracting accounting practices (FAR and DCAA regulations) preferred.
  • Must have a thorough knowledge of accounting office practices.
  • Knowledge of Sage 300 (Sage Timberline Office) desirable.
  • Must be proficient with Microsoft Suite of products including Word, Excel, Access, and E-mail business software.
  • Must demonstrate a good attitude and ability to work as a member of a team.
  • Position requires self-motivation and the ability to work effectively under a minimum of supervision.
  • Must be able to multi-task efficiently, work in a fast-paced environment on multiple projects, and have a strong attention for detail.
