Job Summary: The Accounts Receivable Specialist manages and maintains all aspects of the accounts receivable function. This role ensures timely, accurate invoicing and collection, reconciliation of accounts, and resolution of any billing issues. The Accounts Receivable Specialist will work closely with customers and internal teams to process payments, improve cash flow, and support overall financial operations. The ideal candidate will have experience in accounts receivable and a solid understanding of accounting principles. Key Responsibilities:
- Generate and distribute invoices to customers in a timely manner.
- Monitor and manage accounts receivable aging, ensuring prompt collection of outstanding invoices.
- Process customer payments, including checks, credit card payments, and electronic transfers.
- Contact past-due customers to collect outstanding payments, resolve payment discrepancies, and negotiate payment plans if necessary.
- Investigate and resolve billing and payment issues, working with customers and internal departments.
- Prepare and present accounts receivable reports for management, highlighting key trends and potential issues.
- Collaborate with the sales and customer service teams to address customer billing concerns and improve customer satisfaction.
- Implement and suggest improvements to processes, policies, and controls for efficient receivables management.
- Maintain accurate records of customer transactions and correspondence for audit and reporting purposes.
- Other duties as assigned.
Qualifications:
- 2+ years of experience in accounts receivable or a related finance role.
- Exceptional attention to detail and accuracy in data entry and financial reporting.
- Proficiency Microsoft Office Suite, especially Excel. Experience with QuickBooks is strongly preferred.
- Excellent communication and interpersonal skills.
- Ability to work independently and as part of a team in a fast-paced environment.
Preferred Qualifications:
- Familiarity with landscaping or construction industry practices and regulations.
- Associate's or bachelor's degree in accounting, Finance, Business Administration, or related field preferred.
