Classification: ExemptBase Wage: $65,000Reports to: Accounting ManagerDepartment: FinanceProgram: FinanceLocation: Phoenix, AZPosition Type: RegularDate Reviewed: February 2023 General Description: Under the direction of the Accounting Manager, as a member of the Finance Department team, primarily responsible for supervising and processing monthly invoicing, posting transactions, and collections. This position ensures the timely and accurate completion of all activities relating to accounts receivable, and directly supervises the Accounts Receivable team. The AR manager makes independent decisions to effectively and efficiently drive collection activities, including identifying, resolving, and mitigating account/payment delinquencies in a timely manner. Essential Duties and Responsibilities include the following: WEIGHTDESCRIPTION30Oversees the day-to-day operations of obtaining revenue by processing invoices; resolving missed payments; updating financial records; supervising staff.20Supervises billing processes and requirements as those processes and requirements are related to timing and accuracy of billing, reconciliation and follow up.15Coordinates with Program Managers the research of over/under hours for rebilling or write off. Monitors and maintains software reports to confirm all accounts are billed consistent with program standards.10Actively monitors and documents customer balances and escalates large collections issues appropriately and in a timely manner and communicates these to the Finance management as necessary.5Prepares all journal entries necessary to record the payrolls and all corresponding expenses and liabilities.5Participates in the monthly close by preparing month end reconciliations and journal entries for balance sheet accounts. Reviews bank account reconciliations prior to submitting to the Accounting Manager or Finance Management for approval.5Oversees the Master Cash/Journal Entry and Master Billing spreadsheets to ensure all bank deposits, related cash receipt journal entries and billings have been completed prior to month-end close.5Maintains financial security by adhering to internal controls.5Conducts other duties as assigned. Supervisory Responsibilities: Carries out supervisory responsibilities in accordance with the organization's policies and applicable laws. Responsibilities include interviewing, making recommendations for hiring, and training staff; planning, assigning, and directing work; appraising performance; rewarding and disciplining staff addressing complaints and resolving problems. Qualifications: To perform this job successfully, the individual must be able to perform each essential duty satisfactorily. Education and Experience: Bachelor's degree or equivalent in accounting or a related field; and three years related experience in accounts payable, payroll and general ledger reconciliation's, or equivalent combination of education and experience. Non-profit experience preferred. Language Skills: Excellent oral and written communication skills. Ability to read, analyze, and interpret accounting journals, financial reports, and other documents common to accounting or administrative functions. Ability to respond appropriately to common inquiries or complaints from clients, regulatory agencies, LSSSW staff members or members of the business community. Ability to effectively present information to management and to respond in writing to situations, as required by management. Must communicate effectively, anticipating needs and keeping staff informed of problems or issues. Mathematical Skills: Strong financial and record keeping skills. Ability to calculate figures and amounts such as discounts, interest, commissions, proportions, and percentages. Ability to apply concepts of basic algebra and geometry. Reasoning Abilities: Ability to define problems, collect data, establish facts and draw conclusions and propose appropriate, workable solutions. Ability to interpret an extensive variety of technical instructions in mathematical or diagram form and deal with abstract and concrete variables. Other Skills and Abilities: Ability to operate a ten key calculator and work with any of several spreadsheet software programs and have basic word processing skills. Ability to appropriately handle confidential and sensitive information and situations. Excellent interpersonal skills. Ability to work with, appropriately handle, and maintain positive working relationships with a variety of personalities and situations. Positive, friendly demeanor. Must be detail oriented. Ability to organize, prioritize and complete projects in a timely manner. Requires a strong sense of urgency, as demonstrated in previous positions. Courteous. Reliable, flexible and punctual.
