JOB DESCRIPTION Job Title: ACO Chief of Staff Date: May 2024 Status: Exempt Department: VBLTC Supervisor: Head of Health Number of Subordinates: 2-4 Annual Salary: $125,000 Job Summary: The Chief of Staff serves as a pivotal leadership role within VBLTC responsible for managing and overseeing day to day operations, strategic initiatives, and executive support functions. This position reports directly to the Chief Executive Officer (CEO) and collaborates closely with internal and external stakeholders, data analytics vendors, and the CMS ACO Regional Office Coordinator to drive effective ACO operations and compliance with program requirements with the goal of helping reduce the cost of patient care while improving clinical quality and patient health outcomes. Job Responsibilities:
  • Strategic oversight
    • Collaborate with the CEO and executive team to develop and execute strategic plans aligned with the goals of the ACO.
    • Monitory industry trends, regulatory changes, and healthcare policy developments to inform strategic decision-making.
    • Lead special projects and initiatives as assigned by the CEO, ensuring alignment with organizational objectives.
  • Executive support
    • Serve as a trusted advisor to the CEO, providing strategic counsel and operational support.
    • Prepare executive level presentations, reports, and communications for internal and external stakeholders.
    • Facilitate effective communication and collaboration across departments and with external partners.
  • Operational excellence
    • Oversee day-to-day operations to ensure efficiency, quality and compliance with regulatory standards.
    • Implement performance metrics and reporting mechanisms to track organizational KPIs and improve operational outcomes.
    • Identifies opportunities for process improvement and contributes to the ongoing enhancement of ACO operations and performance.
    • Maintains an accurate ACO roster of participating physicians and staff.
    • Coordinates activities related to any annual change request cycle requirements to ensure compliance and accurate capture of participating providers in CMS management system.
    • Oversees MSSP ACO annual public reporting requirements.
    • Collaborates with marketing to ensure all public websites as set to CMS standards and reflect accurate information.
    • Coordinates cyclical Medicare Beneficiary notification process, from vendor management and engagement to demographic data validation with participating providers.
    • Supports the implementation, data collection, and timely submission of data from CMS quality program (MIPS) and patient experience of care survey completion.
    • Facilitates meetings across internal departments and with all participating providers to ensure operational consistency and compliance.
    • Attends CMS-led educational sessions to identify key changes that all VBLTC staff and stakeholders should be aware of for operational alignment. Facilitates communication to ensure staff are up to date with key changes.
    • Serve as a trusted advisor to the CEO, providing strategic counsel and operational support.
    • Prepare executive-level presentations, reports, and communications for internal and external stakeholders.
    • Facilitate effective communication and collaboration across departments and with external partners.
  • Financial management
    • Assist in budget development and financial planning processes, ensuring fiscal responsibility and resource allocation alignment with strategic priorities.
    • Monitor financial performance against budgets and forecasts, identifying variances and recommending corrective actions as needed.
  • Stakeholder engagement
    • Build and maintain relationships with key stakeholders, including healthcare providers, insurers, government agencies, and community organizations.
    • Represent the ACO at industry conferences, forums, and public events to enhance visibility and promote organizational objectives.
Experience & Skills Necessary for Position:
  • 3-5 years of progressive leadership experience in healthcare management, with specific experience in accountable care organizations preferred.
  • Knowledge of the MSSP program and its requirements preferred.
  • Strong understanding of healthcare delivery models, regulatory requirements, and quality improvement initiatives.
  • Excellent analytical skills with the ability to interpret data and trends to drive strategic decisions.
  • Proven track record of successfully leading cross-functional teams and managing complex projects.
  • Exceptional communication, presentation, and interpersonal skills.
Education
  • Bachelor's degree in healthcare administration, Business Administration, Public Health, or related field.
