Job Description:
Optim Medical Center - Screven is seeking a full time Administrative Assistant for our Sylvania location. General Summary: A nonexempt, position responsible for assisting leadership with daily activities and projects. Essential Job Responsibilities:
  • Provides administrative support to ensure efficient hospital operations.
  • Maintains filing systems.
  • Answers phone calls and directs callers to appropriate personnel, schedules appointments, signs for incoming packages, and assists clients and other visitors.
  • Responds to emails and other digital queries and correspondence.
  • Manages calendars for leadership, including making travel arrangements.
  • Drafts and edits letters, reports, and other documents.
  • Inputs and updates information in databases and spreadsheets.
  • Prepares meeting agendas and takes meeting minutes.
  • Coordinates logistics for meetings, including room setup and catering.
  • Uses word processing and presentation software to create and edit documents.
  • Operates and maintains office equipment, including printers, copiers, and fax machines.
  • Researches as requested and compiles and summarizes information for reports or presentations.
  • Works closely with other staff and supports other colleagues as needed.
  • Works with sensitive information with discretion to maintain confidentiality and security and ensure compliance with privacy policies and regulations.
  • Ensures that deadlines are met and adapts to changing priorities.
  • Presents a positive and professional image for the organization.
  • Other duties as assigned.
Education: High school diploma or equivalent. Some college preferred. Experience: Minimum two years of administrative experience, preferably including one year with a health care organization. Performance Requirements:Knowledge:
  • Knowledge of organizational policies, procedures, and systems.
  • Knowledge of office management techniques and practices.
  • Knowledge of computer systems, programs, and applications.
  • Knowledge of research methods and procedures sufficient to compile data and prepare reports.
  • Knowledge of grammar, spelling, and punctuation.
  • Knowledge of purchasing, budgeting, and inventory control.
  • Skills:
  • Skill in taking and transcribing dictation and in the operation of office equipment.
  • Abilities:
  • Ability to establish and maintain effective working relationships with other employees and the public.
  • Ability to work under pressure, communicate and present information.
  • Ability to read, interpret, and apply clinic policies and procedures.
  • Ability to identify problems, recommend solutions, organize and analyze information.
  • Ability to establish priorities and coordinate work activities.
  • Equipment Operated: Standard office equipment including computers, fax machines, copiers, printers, telephones, etc. Work Environment: Position is in a well-lighted office environment. Mental/Physical Requirements: Involves sitting approximately 90 percent of the day, walking or standing the remainder.
