We are currently looking for a motivated and committed team member to join our Allentown, PA location as a Administrative AssistantThis position is responsible for Intercepting and routing incoming calls, taking thorough messages, and providing basic information to callers courteously and professionally. Greets visitors at the office entrance and directs them to the proper location. WHAT ARE WE LOOKING FOR?
  • High School Diploma or GED required.
  • Two years of related experience required.
  • Valid driver's license and driving record that meets company insurability standards.
ESSENTIAL DUTIES include the following. Other duties may be assigned.
  • Intercepts and routes incoming calls, takes thorough messages, and provides basic information to callers in a courteous and professional manner.
  • Greets visitors at the office entrance and directs them to the proper location.
  • Provide exceptional customer service as first point of customer contact, both in person and verbal.
  • Operate a multi-line phone system.
  • Answer all incoming calls in a prompt, polite, professional manner, transferring them to the appropriate person or department quickly.
  • Minimizes the time callers are on hold and checks back with them frequently to ensure they wish to continue holding.
  • Takes detailed messages when a call cannot be completed including caller's name, telephone number, time of call, and information requested, and delivers to appropriate party in a timely manner.
  • Screens incoming calls as requested by managers.
  • Develop knowledge of basic dealership information to respond to callers who have general inquiries.
  • Notify the IT department of any problems with the phone system.
  • Perform clerical duties as assigned. Must be able to be trained and retain dealerships business operations system.
  • Maintain a professional appearance and neat work area.
  • Process cash, check, and credit card payments from customers.
  • Reconcile daily bank deposit receipts.
  • Prepares bank deposit report and sends to corporate for posting daily.
  • Account for all COD Account Request forms from customers; send to Corporate for approval.
  • Account for all incoming sales tax-exempt forms.
  • Organize all credit application forms and send them to Corporate for processing.
  • Utilize the UTA system for check authorizations. Sort and order all daily invoices for proper accounting and filing.
  • Count currency to ensure accurate receipts and balance register every morning.
  • Copy and scan all necessary receipts for proper filing and reporting.
  • Adhere to and promote all existing health and safety policies in the workplace to reinforce the Hunter culture of a safe work environment.
  • Email customer statements when requested.
  • Liaison with accounting.

Must have high level of interpersonal skills to handle sensitive and confidential situations; position continually requires demonstrated poise, tact and diplomacyWork requires continual attention to detail in composing, typing and proofing materials, establishing priorities and meeting deadlines. Extensive knowledge of Microsoft Office products required: Word, Excel. Ability to type 60wpm or greaterLANGUAGE SKILLS Work requires an extensive knowledge of business language and an excellent command of the English language. MATHEMATICAL SKILLS Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals; ability to compute rate and/or ratioREASONING ABILITY Ability to solve practical problems and to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.Analytical ability is required to gather and summarize data for reports, find solutions to various administrative problems, and prioritize work.
