Job Description:
Under general supervision, this position plans, organizes and coordinates work assigned. Within this position the Admin Assistant will be involved in public relations directly with citizens, other governmental agencies and community providers and partners.Responsibilities may include, but are not limited to the following:Maintains the County's Boards and Commissions database and any committee reports.Maintains accurate records of all appointments by the Board for numerous volunteer boards and committees.Prepares letters of appointment, inquires on continued interest in serving and other various communication with boards and committees on behalf of the Board.Performs administration duties including answering telephones, obtaining information on citizen complaints and inquiries, refers complaints to the appropriate department head and/or County Manager.Codes invoices and processes expense forms for payment.Assists in meeting set-up including picking up supplies, coordination and planning of county events.Routes contracts, agreements and other documents to appropriate departments or contacts after Board approval.Prepares, edits and formats meeting minutes for distribution in partnership with the Clerk.Performs other related duties as required.Minimum Qualifications:â ¢ Accountability - Ability to accept responsibility and account for his/her actions.â ¢ Accuracy - Ability to perform work accurately and thoroughly.â ¢ Attention to Detail - Thoroughness in accomplishing a task through concern for all the areas involved, no matter how small.â ¢ Autonomy - Ability to work independently with minimal supervision.â ¢ Confidentiality - Ability to distinguish confidential information and maintain the sensitive nature of the information.â ¢ Communication, Oral - Ability to communicate effectively with others using the spoken word.â ¢ Communication, Written - Ability to communicate in writing clearly and concisely.â ¢ Customer Oriented - Ability to take care of the customers' needs while following company procedures.â ¢ Ethical - Ability to demonstrate conduct conforming to a set of values and accepted standards.â ¢ Honesty / Integrity - Ability to be truthful, maintain high level of confidentiality and be seen as credible in the workplace.â ¢ Initiative - Ability to do more than is required or expected, completes tasks that no one has requested.â ¢ Judgment - Ability to use good judgment and discretion as it relates to interpreting policies and procedures.â ¢ Multitasker - Ability to multi-task in a fast-paced environment.â ¢ Problem Solving - Ability to find a solution for or to deal proactively with work-related problems.â ¢ Relationship Building - Ability to effectively build relationships with customers and co-workers.â ¢ Safety-Minded - Creating a safe work environment; managing risks; reducing exposure liabilities.â ¢ Time Management - Ability to utilize the available time to organize and complete work within given deadlines.Education & Experience: An Associate's degree from an accredited college or university with major course work in records management, information management, public administration, business administration, or a related field.
