Job Description:

Under direct supervision of the Cardiology Nurse Practice Manager and Director of CV Surgery, performs a variety of administrative support tasks and scheduling duties for CV Surgery and Cardiology such as but not limited to: scheduling of CV surgeries, EP procedures, Cardiac Catheterizations, sedated Echocardiograms, meeting with families for perioperative appointments, answers and directs calls; answers routine inquiries or provides routine forms/information; performs word processing of correspondence, forms, reports or other materials; process forms & information; performs data entry or maintain established spreadsheets; and establish and maintain files and records. Edits and proofreads documents to ensure accuracy.

Reception, Information and Inquiries:

* Following department protocol greets & directs patients/parents, internal staff & external visitors; accept,

screen & route telephone calls. Answer routine inquiries or provide routine forms/information concerning

activities and/or operations of department; follows through, as required, to meet routine needs of customers.

Open and distribute incoming mail and prepare/process outgoing mail/packages.

Appointments and Meetings:

* Schedules routine appointments, interviews or meetings; exercises some discretion and judgment to best

meet needs of department and individuals. Maintains and updates procedural and surgical calendars.

Correspondence, Reports & Documents:

* Performs a variety of routine assignments utilizing personal computer to, draft, edit, revise and print routine

correspondence, documents, reports and other materials; enters data and maintains established files,

spreadsheets or routine databases following clearly established procedures.

File/Records Maintenance:

* Establishes, maintains, processes, and/or updates files, records and other documents. Copies and/or

duplicates materials as requested; prepare and transmit facsimiles. Proofreads all work to ensure accuracy

and neatness.

Administrative Support Activities:

* Maintains weekly surgical conference meeting, sends out invitations, assures conference room is set up and ready, utilizes remote access functions and provides CME's to those who attend conference.

* May run various errands for the unit/department, may involve intra-campus travel integral to responsibilities

of position. May be requested to provide basic instruction and/or training to others in routine tasks and

responsibilities of this position. Maintains own competencies by attending training sessions, as directed.

* Demonstrates knowledge of the population-specific differences and needs of patients in appropriate,

specific populations from young children through adolescence and applies them to practice. Demonstrates

cultural sensitivity in all interactions with patients/families and co-workers.

* Demonstrates support for the mission, values and goals of the organization through behaviors that are

consistent with Connecticut Children's Standards.

* Performs billing and coding of various CV Surgery and Cardiology services for both in-patient and out-patient populations.

Surgical Scheduling Activities:

* Schedules Cardiovascular surgeries in a timely fashion which best utilizes surgeon availability and OR block time.

* Schedules Cardiac Catheterizations and Electrophysiology casas in a timely fashion which best utilizes physician availability and OR block time.

* Schedules other related appointments as applicable such as but not limited to; perioperative appointments, cardiac imaging procedures and sedated echocardiography.

* Initiates and obtains Insurance Authorizations

* Effectively communicates with all necessary primary and ancillary team members as needed.

* Communicates all necessary information to families and/or patients undergoing surgery.

* Collaborates with CV surgery team to assure all necessary information and documentation is in place for scheduled surgery.

* Provides pre-written instructions and information to families and/or patients as needed

* Performs any other related duties.

EDUCATION and/or EXPERIENCE REQUIRED:

* Education Required: High school diploma or GED with 1 to 3 years' experience directly related to the duties and responsibilities specified required, or equivalent.

* Experience Required: Experience with Microsoft Windows operating system, Beginner to Intermediate skills in Microsoft Word and experience with scheduling and/or patient records or billing software such as IDX or SMS, or other software may be required by individual department's mathematical calculations.
