You will be required to fulfill administration tasks vital to the efficient running of the programs. You will be comfortable managing multiple competing priorities including requests and queries from staff, clients, and the public.Your Key Responsibilities
- Provide a welcoming and supportive experience for all people engaging with our services
- Complete a range of administrative tasks including but not limited to taking phone calls, booking appointments, coordination of emails and mail distribution, ordering supplies, maintenance of electronic files, and processing accounts payable, to ensure the efficient organisation of the office
- Action administrative support to the Program Manager including organising meetings, assisting with basic diary management, and administrative projects as directed
- Highly professional and courteous, verbal, and written communication that is aligned with the Mission Australia Code of Conduct
- Assist in the coordination of financial processes for the region including preparation of budget information, journal entries and use of the financial system
- Conduct Intake of Emergency Relief clients and arrange Emergency Relief appointments ensuring fair and equitable access
- Refer Emergency Relief clients to appropriate services where necessary
- Participate in Mission Australia's and external quality improvement activities including data collection and analysis, program reviews, improvement opportunities and innovative practiceRequirements for Success
- With considerable previous background working in Administration roles, and experience in the child, youth & family and/or community services sectors an advantage, you will be confident in your ability to build rapport with vulnerable service users, staff, and sector stakeholders.
- Relevant qualifications (e.g. Certificate in Business Administration) - highly regarded
- Demonstrated experience working with vulnerable people experiencing a range of issues including financial disadvantage, homelessness, family and domestic violence, substance misuse and physical and mental health issues
- Strong ability to deal with service users presenting with challenging behaviour with respect and dignity
- Experienced in the use of databases and online information systems and records management with excellent analytical, literacy, numeracy, and verbal communication skills
- Proven ability to manage multiple competing priorities and a constant workload of varied administration tasks
- Demonstrated solutions focused thinking and problem solving
