The Prince George's County Department of Public Works & Transportation (DPW&T) is currently seeking highly qualified applicants to fill an Administrative Aide III (Grade A17) position in the Office of Administrative Services .About the Position: This advanced level administrative/secretarial position is responsible for providing administrative and secretarial support to Associate Director and staff of the Office of Administrative Services (OAS). Work is performed in line with established policies, procedures and regulations, and under the general supervision of the Office Manager, Office of Administrative Services. About the Agency:The Department of Public Works and Transportation (DPW&T) is responsible for nearly 2,000 miles of County-maintained roadways that range from rural to urban classifications. The transportation infrastructure includes 900 bridges, as well as shoulders, sidewalks, curbs/gutters, stormwater management facilities, driveway aprons and nearly 3,000 acres of grassy areaall of which are maintained by staff of the Department. DPW&T's workforce keeps the County's various services moving by performing a myriad of activities which include removing snow and ice from County-maintained roadways, upgrading traffic signals, installing streetlights, clearing fallen trees, unclogging drainage inlets and maintaining stormwater management facilities, as well as performing roadway repairs ranging from potholes and sidewalk trip hazards to bridge repairs and resurfacing projects and more. Examples of Work
- Provides administrative and secretarial support for the Office and its Divisions and assists with general implementation of work policies and procedures.
- Assists in the implementation of Office policies and procedures and the accomplishment of Departmental goals and objectives.
- Performs analysis of internal systems and operations to ensure efficiency, integrity and accountability and recommends corrective action to the Office Manager and Associate Director.
- Draft procedures that provide a comprehensive, systematic guide to address systems and operational issues and provide recommendations to attain cost-effective and long-term solutions.
- Prepares correspondence, memoranda, contract documents, task, and work orders, change orders, easements, and other related documents for the Office/Divisions.
- Prepares a variety of financial documents required for the acquisition of materials, supplies and services in compliance with county requirements, including credit card, payment requests or purchase requisitions.
- Reviews and processes payment requests, purchase requisitions, print shop requests and other associated documents.
- Coordinates office workflow and ensures efficient and effective office management operations.
- Serve as a liaison for visitors to the Office of Administrative Services, welcome visitors, answer telephone inquiries, and/or refer calls to appropriate personnel.
- Coordinates a variety of office activities, events, special projects and functions. Receives and distributes incoming mail and mail and maintains status of work assignments.
- Monitors office monthly expenditures to ensure the budget is maintained and credit card purchases are accurately reconciled.
- Establishes and maintains Departmental filing system and file retention schedule.
- Researches and organizes materials in preparation for meetings, conferences, and workshops.
- Willingly and cooperatively performs tasks and duties that may not be specifically listed in the class specification or position description but are within the general occupational category and responsibility level typically associated with the employee's class of work.
- Participates as a critical/essential employee in the Department's Snow and Ice Control Program and other emergency/special activities as assigned.
Qualifications
- Must have experience in the Administrative Aide II level equal to the length of the probationary period; or an Associates degree in Business Administration or Secretarial Science
- One (1) year of secretarial/administrative experience which involved working with the public, office management and operational details.
