The Prince George's County Office of Procurement is currently seeking qualified applicants to fill an Administrative Aide,grade G13, in the Office of The Director.

About the Position

This is dually allocated entry level administrative type work designed to relieve and important official of administrative detailin support of the Office of Procurement professional staff. Under close supervision, incumbents perform routine to moderately difficult office responsibilities. Responsibility extends to conveying important administrative information concerning the function and mission ofOffice of Procurementprograms and projects.Due to the nature of work, the incumbent is required to use good judgment and discretion which are essential to the security of confidential information and data. Work performance is evaluated in terms of accuracy and timely completion of projects and assignments.

About the Agency

The Office of Procurement was launched on July 1, 2024, and comprises three main divisions: the Office of Accountability, Business Services, and Office of Administrative Services. These divisions will house critical functions including Contract Compliance, Contract Administration & Procurement, and Supplier Development & Diversity, formerly managed under the Office of Central Services. The Office of Procurement will help foster transparency and efficiency in our procurement process every day while also providing a high impact means to promote equity. Through the new Office of Procurement, small, local, and minority-owned businesses are supported, creating new opportunities for our residents to work in and improve the community where they live.

Examples of Work

* Welcomes visitors in a courteous and professional manner and refers to appropriate staff.

* Liaison for the Certificate of Insurance (COI).

* Liaison to internal and external customers regarding Departmental matters.

* Collaborates with personnel within OOP on matters, such as telephone issues and data processing requiring department-wide coordination.

* Managing documents and records and maintaining accurate databases.

* Obtain electronic files and a variety of other source materials as necessary to compile and consolidate information for meetings, negotiations, specific projects or research activities including certain statistical reports.

* Answers incoming phone calls in a courteous and pleasant manner. Screens calls to determine nature of call and directs caller to appropriate staff. Takes messages in a clear and concise manner and ensures timely delivery of the same.

* Back up to the Vendor Coordinator, Creating, modifying and maintaining County Vendor Database using established SAP formats.

* Access badge and Vehicle Coordinator for the agency.

* Communicating clearly and concisely, both orally and in writing.

* High level of attention to detail, and the ability to work independently.

* Willingly and cooperatively performs other tasks and duties as assigned.

Qualifications

* High school diploma or G.E.D. certificate with coursework in typing, office practices or other related clerical subjects.

* One (1) year of advanced diverse and/or technical clerical experience which must have involved working with the public for at least six (6) months. Any equivalent combination of relevant training, education and experience will also be accepted.

Preferred Qualifications:

* Associate of Art's degree in Purchasing/Procurement, Merchandising, Business Administration, Retailing and Distribution, Marketing, Economics or related field. An equivalent combination of education and professional purchasing experience may be substituted.

Conditions of Employment: Upon selection, the candidate must:

* Applicants who meet minimum qualifications must pass an administered Administrative Aide exam. Applicants who have previously taken the exam on or after 8/1/2024, and passed, will not be required to re-test; instead, previously test scores will be used to receive the passing disposition.

* Meet all training and performance standards and demonstrate proficiency as required by the agency.

* Wear and use agency protective apparel and equipment in the performance of their assigned duties.

* May be required to successfully pass preemployment checks which may include reference checks, background investigations, and drug screenings, where applicable.

* Essential employees are expected to report during standard or non-standard hours as operations necessitate, or during emergencies. Essential employees are expected to report or remain at work when other County employees are granted Administrative Leave.
