ABOUT THIS POSITION

Phoenix Public Library (PPL) serves a diverse multiethnic clientele of over 4.8 million people, with a central library and 16 branches. The library offers collections in multiple languages, a full range of cutting-edge electronic resources and customer focused public services. The Phoenix Public Library, Management Services Division is seeking an Administrative Aide to be responsible for providing first-line customer service by telephone, in-person, or by e-mail.

Additional responsibilities include:

* Providing critical support to the division including the procurement of goods and services.

* Processing invoices for payment, tracking, and routing documents.

* Creating and maintaining reports and spreadsheets.

* Managing the division's SharePoint website.

* Drafting meeting agendas and minutes.

* Managing public room reservations at Burton Barr Library involving regular interaction with other City Departments, stakeholders, and leadership.

* Assist staff and recommend improvements.

SALARY

Pay Range: $20.51 to $35.08 per hour.

Hiring Range: $20.51 to $28.86 per hour.

MINIMUM QUALIFICATIONS

* Four years of experience performing clerical duties.

* OR Bachelor's degree in public or business administration, or a related field.

* Other combinations of experience and education that meet the minimum requirements may be substituted.

* Some positions require the use of personal or City vehicles on City business. Individuals must be physically capable of operating the vehicles safely, possess a valid driver's license and have an acceptable driving record. Use of a personal vehicle for City business will be prohibited if the employee is not authorized to drive a City vehicle or if the employee does not have personal insurance coverage.

PREFERRED QUALIFICATIONS

The minimum qualifications listed above, plus:

Experience with:

* Monitoring and recording retention records.

* Multitasking in a fast-paced environment.

* Procurement and payment reconciling.

* Data entry and record keeping.

* Microsoft Office, including Word, Outlook, and Excel.

* Updating SharePoint content.

* Scheduling/calendaring.

* Drafting agendas and meeting minutes.

* Providing administrative support and excellent customer service.
