Job Description:
Provides administrative and program support to the faculty and staff of the Office of Student and Resident Diversity (OSRD). This individual works under general direction on operational and/or procedural assignments that are varied and complex that require considerable discretion and independent judgement. Tasks involve handling of confidential information and a wide variety of inquiries and interactions with faculty, staff, students, and residents, the public, and high levels of leadership within UCD Health. The incumbent is expected to utilize initiative, judgment, and discretion in researching, analyzing, and compiling necessary background information to assist management in responding to a wide variety of complex issues; apply problem solving techniques to address various situations, and provides referrals to appropriate resources. Originality and ingenuity are often required to help establish procedures. The incumbent must effectively communicate with executives and their staff and develop relationships with key constituents.Apply By Date 10/4/2024 at 11:59 PMMinimum Qualifications
  • High school diploma or equivalent certificate.
  • Experience working in academic environment and providing student support to diverse populations (including first generation, students from diverse racial and ethnic backgrounds, LGBTQI and socially-economically disadvantaged).
  • Experience managing schedules and providing administrative support to executive leaders and/or faculty members.
  • Front office management experience.
  • Demonstrated ability to plan, organize, prioritize, and perform assigned tasks in a professional and timely manner.
  • Ability to handle or direct multiple concurrent tasks, appropriately allocating time and balancing priorities.
  • Excellent verbal and written communication skills, active listening, critical thinking, multi-tasking and time management skills.
  • Demonstrated excellent organizational skills.
  • Excellent interpersonal skills to effectively and professionally communicate in person.
  • Skill in managing sensitive and confidential information regarding student issues.
  • Knowledge in operating and managing an office front desk.
  • Thorough knowledge of administrative procedures and processes including Word processing and Excel spreadsheets.
Preferred Qualifications
  • Bachelor's degree in a relevant field (e.g. education, healthcare administration, or related discipline) or equivalent experience/training.
  • Experience providing administrative support to multiple individuals in a fast passed environment.
  • Demonstrated ability to work independently but also generate cooperation among faculty, staff, and students.
  • Investigative skills to elicit information needed to clarify inquiries and requests; and professional skills to handle sensitive or difficult situations diplomatically and to work effectively and sensitively with constituents from diverse culture background and perspectives and as part of a team.
  • Problem solving skills to analyze situations and initiate solutions.
  • Ability to exercise independent judgment and make effective decisions based on priorities, resources and policies.

Department Overview The Office of Student and Resident Diversity (OSRD) is responsible for increasing the pre-medical student and pre-health professions pathways, nurturing and advising undergraduates from socially economically disadvantaged backgrounds who express an interest in medicine and healthcare careers, overseeing the CA Postbaccalaureate Consortium, supporting UCDH medical students while creating a more inclusive environment, and collaborating with medical graduate training program directors and the Office of Graduate Medical Education (GME) to improve the diversity and inclusive climate of medical graduate training programs.Department Specific Job Scope The mission of the Office of Student and Resident Diversity (OSRD) is to create an environment of inclusion and respect, and to actively recruit and fully foster the development of a physician workforce that reflects the rich diversity of our nation and our world - a workforce wholly equipped to serve and care for all people, vigorously committed to reducing health disparities, and passionately dedicated to the goal of achieving true health equity.POSITION INFORMATION
