Job Description:
POSITION SUMMARY:Provides administrative support for Manager(s), Director(s) and applicable department or direct service program(s). Has access to protected healthcare information (PHI) or confidential identifiable information (CII), both paper and electronic, as necessary, to perform related job duties and responsibilities.ESSENTIAL FUNCTIONS:
  • Interfaces with internal/external contacts requiring considerable discretion and initiative
  • Provides word/data processing and spreadsheet support, including graphics and presentation software
  • Provides general administrative support, which may include, but not limited to:
    • Responding to routine correspondence and screening telephone calls
    • May assist with coordination of volunteers, including recruiting volunteers and assigning duties
    • Coordinating schedules and travel arrangements
    • Maintaining confidential files and records
    • Supporting committee(s)
Additional responsibilities:
  • May have lead responsibilities in a variety of areas, as requested and directed
  • May research background material and collect data for reports, grant proposals, speeches and correspondence
  • May carry out assignments relating to meetings, committee/community activities and/or funding
  • May assist with responsibility for compliance with licensing and regulatory requirements
  • May provide information and referral support, maintain resource lists, and minimal case management with program participants
  • May coordinate schedules and/or facilitate workshops, classes, special events, and other activities for a Akin direct service program
  • Assists with other activities/duties as requested and assigned
KNOWLEDGE, SKILLS AND ABILITIES:
  • Advanced knowledge of office procedures and efficiency with computer software MS Office, including the ability to write clear and grammatically correct letters, memos and reports
  • Strong interpersonal skills including ability to communicate clearly, accurately, and effectively with diverse populations and all levels of personnel
  • Demonstrated ability to work independently, organize and prioritize individual and departmental/programmatic responsibilities
  • Ability to work effectively under pressure, demonstrates initiative and resourcefulness, exercise good judgment and discretion
  • Knowledge of, and experience with, human service organizations
  • Must possess strong human relations skills to communicate and work effectively within a culturally diverse work environment and community

WORKING ENVIRONMENT:This job may be performed in various environments, professional office, childcare center, or community office. The following list is representative of the work environment employees encounter while performing the essential functions of this job:
  • Moderate noise (i.e. business office with computers, printers, phones)
  • Typical office lighting and temperatures
  • Moderate to frequent interruptions depending on location
  • Ability to work in a confined area
  • Ability to sit at a computer for an extended period
  • Limited travel to other site locations within the state
WORKING REMOTELY:Working remotely is a benefit of Akin's flexible workplace, but remote work cannot be offered for all positions. Some positions require daily presence in the office. Remote work arrangements may be adjusted or rescinded based upon business needs.PHYSICAL DEMANDS:
  • While performing the essential duties of this job, the employee is regularly required to stand, sit, talk, hear, and use hands and fingers to operate a computer and telephone keyboard; occasionally to reach, stoop and kneel
  • Specific vision abilities required by this job include close vision requirements due to computer work
  • Regular, predictable attendance is required
  • Ability to lift up to 30lbs

  • Three to four years related work experience; Or, a combination of education and experience that demonstrates the skills and abilities required for the position
  • Successful completion of a criminal background check
  • Successful completion of a drivers check if position requires driving on a regular basis (at least three times per week) or drives clients. Must not have more than two driving incidents within the last three years
PREFERRED QUALIFICATIONS:
  • Bi-lingual (as needed)
SALARY RANGE AND BENEFITS:The salary range for this position is $22.78 - $30.53. The starting salary range for this position is $22.78 - $24.70 DOE for external candidates. Employees will also receive 10 days of vacation leave each year, three Employee Appreciation Day each year, and will accrue one sick day per month (pro-rated for part-time employees). Employees will also enjoy 15 paid holidays throughout the calendar year. We also offer EAP and mental health benefits.
