Learn more about our impact at www.tcahnyc.org. Position Summary: We are seeking a detail-oriented and highly organized Administrative Assistant to support our Chief Operating Officer (COO). This pivotal role involves a blend of administrative duties and strategic support, making it ideal for someone passionate about our mission and skilled in managing complex operations. The successful candidate will play a critical role in facilitating the COO's efforts to drive our organization's vision, strategic direction, and day-to-day operational efficiency. Position RequirementsTASKS AND RESPONSIBILITIESAdministration - 80%
  • Offer comprehensive administrative support: manage the COO's calendar, call, email, facilitate meetings, and handle correspondence with attention to branding and detail.
  • Utilize MS Office Suite and online platforms (e.g., Zoom, Google Meet) for document preparation and meeting coordination.
  • Act as the primary liaison between the COO, Senior Managers, Managers, fellow chiefs, and community partners, fostering collaboration and effective communication.
  • Serve as the COO's representative at various events, accurately conveying the organization's vision and values.
  • Implement and refine administrative policies to improve efficiency, aligning with organizational goals and branding.
Projects - 20%
  • Engage in strategic initiatives by collaborating with the Development Department, Project Managers, and various consultants to support the COO's vision and organizational goals. This includes providing logistical and administrative support to ensure the successful planning, execution, and completion of key projects.
  • Work closely with the Executive Assistant on special projects and assignments, ensuring alignment with the broader organizational objectives and seamless operational support.
  • Serve as a bridge for communication and project coordination between the COO, internal departments, and external partners, facilitating the flow of information and resources necessary for project success.
PERSONAL AND PROFESSIONAL CHARACTERISTICS
  • Bachelor's degree with at least five years of relevant experience, preferably within a non-profit environment.
  • Demonstrated expertise in Microsoft Office Suite and adeptness with online communication platforms.
  • Excellent communication skills, capable of engaging effectively with various stakeholders at all levels.
  • Strong organizational prowess, able to manage multiple priorities and adapt to a dynamic environment.
  • Demonstrates the ability to take initiative, anticipate needs, and exercise sound judgment.
  • Flexibility to work and thrive in a fast-paced environment and execute effectively against multiple projects and deadlines.
  • Experience in a nonprofit environment is preferred, highlighting an understanding of its unique challenges and opportunities.
  • A commitment to confidentiality, ethical conduct, and professional integrity.
  • Availability for overtime as needed, with a proactive approach to teamwork and project management.
