DescriptionIdaho Department of Insurance OpportunityThe Idaho Department of Insurance (DOI) is looking for a star to fill its full-time Administrative Assistant 1 position.Are you looking for:* A fulfilling career with an opportunity to give back to your community?* A great work location in the center of beautiful downtown Boise?* An organization that provides tools and resources to support both your personal wellness and professional development?EXAMPLE OF DUTIES* Manage the administrative activities of the Investigations Section;* Handle highly sensitive, confidential, legal, and/or political information;* Process investigative referrals and assist in maintaining investigative statistics and trends;* Make travel arrangements in accordance with state and agency policies and procedures;* Maintain computerized case management system;* Assist insurance fraud investigators prepare cases that are submitted to the Deputy Attorney General's office:*
  • Preparing Discovery* Bates Number of documents* Editing Documents* Copying recorded interviews and case documentation to a portable data storage medium* Utilize computer for: word processing, spreadsheets, database entry and reference, and seized items status tracking;* Enter and manipulate computer databases and software to research, modify and/or develop materials in final form;* Scan, collate, file, copy, and redact documents as needed;* Gather information from various resources and databases, analyze data and develop detailed reports;* Compose correspondence for investigators and supervisor, applying a good knowledge of effective business English usage, spelling, punctuation, and grammar and send correspondence as needed;* Maintain official records of the investigation section, including electronic and paper files;* Other projects and duties as assigned by supervisor.MINIMUM QUALIFICATIONSGood knowledge of:* Office support functions which include word processing, filing, composing a variety of business documents, and reception. Typically gained by at least one (1) year of full-time work experience performing a variety of office support functions as described; OR successful completion of at least six (6) credits in college-level coursework that included word processing, filing and composing documents; OR successful completion of at least three (3) credits in college-level coursework that included word processing, filing and composing documents AND at least six (6) months of full-time work experience that included responsibilities related to office support functions. When responding to work experience statements, the intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.* Gathering and compiling data. Typically gained by at least one (1) year of full-time work experience gathering information from a variety of sources to collect, and compile requested information, which required good knowledge of services, operations, or programs. When responding to work experience statements, the intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.* Balancing and coordinating a workload for multiple projects. Typically gained by at least one (1) year of office work experience which required balancing, coordinating, and setting priorities for multiple supervisors. When responding to work experience statements, the intent is that this be full-time work (at least 35 hours per week). Two years of experience working 20 hours per week equates to one year of work experience.DESIRED CANDIDATE ABILITIES (not required):* Use effective business English, spelling, punctuation, and grammar to compose and edit documents.* Provide excellent customer service and public relations.* Arrange meetings such as, scheduling/coordinating facilities and equipment, notifying participants, preparing agendas, room setup, and arranging for refreshments/luncheons.* Analyze, interpret, and explain complex information and documents.* Use Adobe Pro (or equivalent) to create and edit PDF documents.* Proficiently use Microsoft Office, including Outlook, Microsoft Word, PowerPoint, and Excel.* Take meeting minutes* Experience with fiscal policies, making purchase requests, and managing a purchase card (P-Card)SUPPLEMENTAL INFORMATIONThe selected candidate will be required to successfully pass a fingerprint background check prior to hire date and every five years thereafter.The Idaho Department of Insurance embraces diversity and equal opportunity in a meaningful way.
