Qualifying titles are available at: If three or fewer New York State Department of Health promotional candidates respond to this notice, the agency may, at its discretion, nominate a qualified employee for non-competitive promotion under the provisions of Section 52.7 of the Civil Service Law.* A passing score on a typing test is required before a job offer to this title can be approved.Preferred Qualifications: Demonstrated experience working in an administrative roll; Demonstrated experience working with Microsoft Office applications, including Outlook, Word and Excel; Familiarity with HIPAA and privacy regulations; and Strong written, verbal, and interpersonal skills.Duties Description Under the direction of the Bureau Facilities Manager, the incumbent will be responsible for managing the main entry point for the division office, act as the main point of contact for visitors to the office and support other administrative functions for the division. The incumbent will be required to establish and maintain familiarity with division staff, facility staff and all requirements for accessing the facility and division operations. Specific duties will include but not be limited to the following: Answering the division telephone; Registering all visitors, vendors, and guests; Arranging for visitors to be escorted to and from their desired location; Scheduling meetings for division staff; Assist in preparing materials for meetings, including agendas, support material and meeting minutes; Assist with other administrative functions, including maintaining the staff directory, organization charts and department policies and procedures; and Other duties as assigned.Additional Comments This position is part of the NYS HELPS program.
