For the duration of the NY HELPS Program, this title may be filled via a non-competitive appointment, which means no examination is required but all candidates must meet the minimum qualifications of the title for which they apply.

The Department of Visual Arts and New Media (VANM) provides a balanced, comprehensive undergraduate program in the practice, theory, and history of the visual arts and new media. Visual Arts and New Media is an accredited institutional member of the National Association of Schools of Art and Design.
Reporting directly to the VANM Chair, the successful candidate will:
Duties:
* Monitor an online application system for portfolio reviews, distributing submissions to appropriate faculty for review, sending acceptance/denial letters, keep track of applicants and monitoring accepted/paid students in each program area, coordinating with Admissions to process all new acceptances, maintaining OnBase, and maintaining all department files for new students
* Assist with recruitment efforts by answering telephone inquiries, forwarding emails, and scheduling tours with StudentAmbassadors, VANM faculty, and the Chair.
* Purchase course-related supplies and studio equipment for all VANM faculty in a timely manner using current purchasing processes; monitoring status of orders and delivery to departmental classrooms and offices; helping track of balances in various S&E, IFR, and Foundation accounts
* Create 24-Credit-Hour Review Schedule and Faculty Committees for current students; monitor Submittables database or student submissions related to 24-Credit-Hour Reviews; printing/scanning completed reviews for student files and to be distributed to individual student participants
* Act as Building Online Security Coordinator, provide building and room access for appropriate students using the swipe card system.
* Assist with inquiries and overrides for VANM students
* Assist faculty, maintain personnel files, COS records, and collecting course syllabi
* Assist the Chair with CPI/schedule building related paperwork (course call outs for each upcoming semester)
* Facilitate travel arrangements and honoraria of visiting artists and the budget associated with the Visiting Artist Program
* Maintain VANM general e-mail address, respond to general inquiries
* Coordinate arrangements associated with NASAD (National Association of Schools of Art and Design) accreditation and annualHEADS reports
* Assist with the NYSSSA (New York Summer School for the Arts) program
* The department administrative assistant will also work with the following systems (including but not limited to):

* COS's
* CPI/Schedule changes
* ARGOS
* Banner
* Google Drive
* FredMart
* Be aware of, understand, and follow all university policies.
Requirements:

Non-competitive (NY HELPS):
* High school diploma or high school equivalency diploma
* Two years of experience in administrative support
* Use of office software (e.g., email, word processing)
OR
Appointments and promotions in the New York State Civil Service are made according to principles of merit and fitness as mandated by the New York State Constitution.
* Reassignment Requirement: You must have one year of permanent competitive or 55b/c service as an Administrative Assistant 1, SG-11, or Secretary 1.
* Reinstatement Requirement: You must be a former state employee to request reinstatement to the title that was held (or transferable title).
* Administrative Assistant Trainee 1 Transfer Eligibility Requirement: You must have a current permanent appointment with a minimum of 1 year of service in a position of the same title or transferable title (SG-6 or above).
* Administrative Assistant Trainee 2 Transfer Eligibility Requirement: You must either have successfully completed the 52 weeks of service as an Administrative Assistant Trainee 1 or one year of services in a clerical title (SG-8 or above) AND successfully completed the four core administrative support courses.
* Administrative Assistant 1 Transfer Eligibility Requirement: You must have either one year of service in a clerical title (SG-9 or above) or completion of a two-year traineeship AND successfully completed both the four core administrative support courses and the four elective administrative support courses, as designated by the agency.
All applicants must meet at least one of the above requirements.
Keyboarding requirement: Candidates who are not transferring from a keyboarding title must possess adequate keyboarding skills (i.e., the ability to type 30 words per minute with at least 96% accuracy) as demonstrated by passing the Keyboarding Performance Test.
Additional Trainee information: As an Administrative Assistant Trainee, you would participate in a 2 year traineeship. Trainees will be required to take four mandatory core administrative support courses the first year of the traineeship and four elective administrative support courses in the second year of the traineeship in four administrative support competency areas through the CSEA Partnership, or equivalent offerings through another entity as determined by the agency. At the successful conclusion of your traineeship with completion of all eight administrative support courses, candidates would advance without further examination to Administrative Assistant 1, Grade 11.

Salary Range listed encompasses the hiring rate of an Administrative Assistant Trainee 1 (NS) through the job rate of an Administrative Assistant 1 (Grade 11).
* Administrative Assistant Trainee 1 (NS = Grade 8): $39,215
* Administrative Assistant Trainee 2 (NS = Grade 10): $43,768
* Administrative Assistant 1 (Grade 11): $46,306
