Position Type: Secretarial/Clerical/Administrative AssistantDate Posted: 6/4/2024Location: Hurlbutt Elementary SchoolDate Available: August, 2024Administrative Assistant (11 Month) Position: Administrative Assistant - Hurlbutt Elementary SchoolJob Goal: To assure the personable, smooth, and efficient operation of the Hurlbutt Elementary School Main Office. Duties: Performs all general office tasks including accounts receivable, maintenance of personnel records, budget preparation, general correspondence, telephone, and other duties assigned by the Hurlbutt Elementary School Principal.Qualifications:
  • Bachelor's Degree preferred
  • Minimum 2 years experience in secretarial or related field
  • Excellent typing and organizational skills required
  • Computer experience necessary, including, but not limited to, MS Office and Google Suite
  • Strong, personable telephone and in-person communication skills
  • Ability to relate well with faculty, parents, and students
  • Ability to work under pressure
  • Bookkeeping skills to monitor and balance budgets and other financial transactions
  • Thinks critically about the details of a task at hand
  • Strict confidentiality required
Performance Responsibilities:
  • Answers office phone calls and responds to appropriately to requests for information
  • Sharing verbal information from parents and other school visitors/volunteers with appropriate school personnel
  • Conveyance of appropriate information between parents/students via message board and/or interschool telephone
  • Supervises the collection of attendance reports from the classroom teachers
  • Daily attendance records kept in Powerschool
  • Work with the cafeteria for daily lunch counts
  • Notification to parents regarding student absenteeism data
  • Notification to appropriate staff of unexcused absences, prolonged absences and absences due to communicable illness
  • Organize daily student dismissal plans in School Dismissal Manager. This includes working with various organizations that offer afterschool activities
  • Manage the kindergarten registration process for the incoming fall class
  • Register preschool and elementary students throughout the school year
  • Collaborate with the school nurse on incoming registrations
  • Coordinate student buses with transportation
  • Various summer projects to ensure a well-organized start of the school year
  • Conferring with parents on daily absences, attempted phone verification of all absences daily
  • To assure the personable, smooth, and efficient operation of Hurlbutt Elementary School Main Office
  • Other duties as assigned by the School Principal
