GENERAL DESCRIPTION Performs complex (journey-level) administrative support work. Work involves providing internal administrative support including disseminating information, assisting with maintaining filing systems, and preparing and editing reports and documents. May provide guidance to others. Works under general supervision, with moderate latitude for the use of initiative and independent judgment. ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Central Counties Services incorporates principles of trauma-informed care, which includes cultural sensitivity, in all areas of service delivery. All job descriptions include the responsibility to learn about and implement trauma-informed practices within the scope of work for the position.
  • Provides general customer service in-person, by mail, and by telephone, including complaint resolution and checking in/out consumers at the front desk. Verifies current documents in the medical record to include; active treatment plan, active eligibility, and changes in insurance status at the time of check-in.
  • Performs general office duties such as filing and maintaining a filing system, answering and routing phone calls, and ordering and maintaining office supplies.
  • Prepares, edits, and distributes correspondence, reports, forms and documents.
  • Responds to program service inquiries by telephone and in-person.
  • Reviews and edits information on agency records and recommends modification of forms or records.
  • Performs data entry and provides medical records upon request.
  • Opens and distributes incoming mail; prepares mail-outs; processes outgoing mail; and maintains and reviews records on postage, registered mail, and packages.
  • Receives and counts cash and maintains accountability for and forwards payments to the appropriate agency staff.
  • Assists in orienting and training new employees. May train others.
  • Maintains office schedules and appointments for service providers in the department.
  • May assist in completing service eligibility by completing financial assessments with consumers.
  • Clearly, legibly and thoroughly completes required documentation.
  • Demonstrate high ethical standards, trustworthiness, and personal integrity. Regular attendance, dependability, and promptness are required for the 8-5 workday or agreed upon hours 100% of the time, to ensure consistency and completeness of program's processes.
  • Professional Development - Successfully complete training required to maintain skill competency and cross training to ensure consistency across program procedures. Complete continuing education as required by the Center.
  • Performs related work as assigned.
GENERAL QUALIFICATIONS Experience/Education/Licensing/Certification
  • Experience in clerical work. Graduation from a standard senior high school or equivalent is required.
Knowledge/Skills/Abilities

  • Knowledge of business or program terminology, office and HIPPA procedures, spelling, punctuation, grammar, and arithmetic; of purchasing policies and procedures; of records administration and maintenance techniques and procedures.
  • Skill in using a personal computer and office equipment.
  • Ability to make arithmetic computations; to prepare and maintain records, files, and reports; and to transfer stock from one location to another.
  • Ability to proficiently utilize computer programs, e.g., Microsoft Word and Excel.
  • Ability to see, hear and talk effectively within job requirements.
  • Ability to stand, sit and walk for extended periods.
  • Ability to effectively handle potentially aggressive behavior in a positive manner.
Relationship Skills
  • Ability to communicate effectively, both verbally and in writing.
  • Work behavior must be compatible with Center value statement and Policies and Procedures Manual contributing to an environment of problem solving, building trust, conflict resolution, and customer service.
  • Ability to perform tasks effectively and efficiently.

Additional Requirements
  • Must have and maintain a valid drivers' license with an acceptable driving record.
